Introduction
The Newsletter feature is designed for sending one-time communications to customers. It is a module that enables you to send messages to members and guests predefined in a list or specific report. In this article, you will find information on how the Newsletter works within the PGM system, along with a detailed description of its configuration.

Before you start
There are various possibilities for creating a newsletter in PGM. Before you start configuring your newsletter, make sure that the channel has been set up in PGM.
- EMAIL: please contact our Technical Support and provide them with the email address you want to use for sending the newsletter.
- SMS: If you want to send the newsletter via SMS, please familiarize yourself with this article.
- RECEPTION: If you want to add a note to members' profiles, use this option.
- PUSH: If you want to send notifications through our PerfectGym GO mobile app.
Instructions
How do I create a newsletter and send messages to specific members?
STEP 1
Add the list of members to whom you want to send a message
1. Go to the PGM → Marketing → Newsletter → Recipients
2. Choose the method of creating recipient lists:
- Import group from file:
If you want to use this option, you need to create a csv. file, with membership numbers that you will need to upload to the system. After preparing such list, Select the relevant file from your computer, add a Name of the recipient's group and click Import.
- Import group from textbox:
This way, you also need to create a list of members, to whom you want to send the email. If, its created, copy membership numbers and go to PGM. Add the Group name and paste User Numbers List into the box, next click on Import button.
STEP 2
Create a Newsletter
1. Go to the PGM→ Marketing → Newsletter → Messages
2. Click on the Create Newsletter button in the upper right corner.
3. Enter the newsletter name and select its type – for e-mail type of newsletter, select E-MAIL type and click Next.
4. The next screen will appear in which you can load a predefined message template (1) or create new content for your message (2).
5. To create a template, go to PGM -> Marketing -> Newsletter -> Templates and click New template in the upper right corner.
6. Enter the template name, subject, and content in the text editor.
In the content section, it is possible to insert ‘dynamic fields’ which will then be reflected as a value in the output message (the dynamic field ‘@Lastname’ will display the actual last name of the member receiving the newsletter). The dynamic fields allow for automation, for instance, creating one generic message and sending it to multiple users as a personalized message instead of creating as many personalized messages as recipients.
7. After selecting a template, you can test the newsletter on only one member’s account.
At this step [TEMPLATE_UNSUBSCRIBE_LINK] tag will be not handled.
8.If there is no need to test it - click Next without entering any data.
9. According to the GDPR, a club member must agree to a Newsletter. Therefore, always select a proper User agreement.
10. After clicking Create Newsletter, you will automatically go to the Message section where you can check the job progress.
- Pending status informs you that the e-mails are being sent.
- It takes approximately 30 minutes for the job to complete which is followed by the status change to Finished.
If an employee does not have the Users-> All clubs permission, the newsletter will be sent only to members whose home club is assigned to this employee. Otherwise, the newsletter will be sent to all members from all clubs.
How to unsubscribe from the Newsletter?
Members can unsubscribe from the marketing newsletter through the Unsubscribe link placed in the marketing e-mail footer. Additionally, a new feature for user agreement management will be placed in the Client Portal.
- Go to the Client Portal -> Your account settings -> Edit profile -> Phone number and e-mail and unselect Newsletter subscription.
