Introduction
This article will explain how to set up the default ledger Id per club.
Selected reports require a reference to a ledger to be set on the club.
Before you start
To add the settings for default ledger. You will need access to the following modules within Perfect Gym.
PGM->Settings->Custom Attributes
If you do not have access to this module, go to PGM->Clubs->System Permissions and select the following permission:
- System Settings
PGM->Clubs->List of Clubs
If you do not have access to this module, go to PGM->Clubs->System Permissions and select the following permission:
- System administration
- Clubs
- Edit
- Clubs
Instruction
First step is to set up the field in club. Go to PGM->Settings and select Custom Attributes.
Press Add category.
The following settings must be set:
- Code - PG.Australia.DefaultLedgerCategory
- Category Type - Set as Club (this will display the attribute in PGM->Clubs->List of Clubs).
- Translations - Name of the category, set this in English (any other languages can be used, however may not be visible unless using that language). The name itself can be anything you wish. eg. 'Default Ledger'
Press Save to continue.
Go to the newly created custom attribute category, press the three dots then press + Add Type.
In the following screen, the following settings need to be set:
- Is required - (Optional) Selecting this will prevent editing/creation of a new club unless a value is set on this attribute in PGM->Clubs->List of clubs
- Data Type - This must be set as 'Integer number'
- Is Visible On - Remove all applications listed. When this is left blank, it will only be visible on PGM
- Code - This must be set as the following PG.Australia.Accounting.DefaultLedgerId as reports will look for the attribute set against this code
- Description - Leave blank
- Translations - Set the attribute name to what you want, eg. 'Default Ledger Id'. This will allow it to be identified in PGM->Clubs->List of clubs
Press Save.
The custom attribute category should look like this (after pressing Show rules).
Is required will be True / False dependant on if you select 'Is required' in the set up above
To map a ledger to a club, first go to PGM->Reports->All and download the Accounting Multi Ledger report for a single day. Open the tab LedgerClubMapping to view ledgers and which clubs they are mapped at.
Go to PGM->Clubs->List of clubs and press Edit on a club you wish to add the LedgerId to.
Scroll down to the bottom of the pop up window to display the Default Ledger Id field created, add in the value from the report. Press Save.
