Introduction
This article explains how to permanently delete a club from the PGM system.
This process is irreversible. That is why we recommend using this instruction with full awareness of the consequences!
Here are some reasons why you may want to remove a club from PGM:
- You are down-sizing
- A club has been sold off
- You would like to only be charged for the clubs which are operational, i.e., in case of a club with no revenues, although still being active in the PGM system.
In any of the above cases, make sure you have contacted the Perfect Gym Customer Success or our Billing Team to let them know of your situation. Otherwise, you may still be charged a fee for the deleted club.

Before you start
Make sure that you are completely sure that you want to remove a club from your PGM environment.
Australia and New Zealand Clients: Please contact support instead of deleting the club as checks need to be done to ensure payment tokens are correctly transferred.

How to remove a club from Perfect Gym Management software?
The whole process consists of two steps
STEP 1
Remove everything from the Warehouse states
1. Go to the PGM -> Sales ->Warehouse -> Warehouse documents.
2. Select one of the documents responsible for removing goods, for example, Goods Issued Receipt or Inventory -.
You can also use Dispatch of Goods to transfer goods to another Warehouse in a different club.
3. You can use this article to decide which document fits your needs the most.
STEP 2
Transfer members to another club and finalize deleting the selected club

Go to PGM -> Clubs -> Clubs -> List of Clubs

Finalize the deletion of the non-operation club by selecting it from the list.
This step is extremely dangerous as you can lose the existing club information.
3. Confirm which club should be set for deletion.
4. Select another club, where members should be transferred. Otherwise, you should perform adequate operations on club members (i.e. mass contract cancellation).
5. Click on the three dots icon.
6. Click Delete.

Be careful with this action! It can be harmful to your data if you don't act carefully and responsibly!
We also understand that it might not be your desired outcome to have closed club members transferred to another club. There can be multiple reasons for that, i.e. the next available club can be far away from the home town, or it can be a franchise, so due to data protection regulations, members' data can not be transferred without additional agreements.
If that is the case, please create and forward the case to our Technical Support team and they will arrange the club closure without a need to transfer your members. We will remove the entire instance for you. However, please remember that you might want to have an insight into some data available in PGM reports, so before you process this query, go to reports and generate all the data that you need.
