Introduction
This place is a dashboard for Club list view that enables club information management for Employee. You can edit basic information about club such as location and contact details, club opening hours and club gallery. It also allows to configure layout of the POS units available in a given club by adjusting panels and setting up quick-buttons. There is an information about products stock conditions in the warehouse associated with the given club and information about product prices.

Before You Start
Ensure you have the necessary permissions to view, add, edit, or delete clubs (e.g.,
SystemManClubsAdd,SystemManClubsEdit,SystemManClubsDelete).If adding a new club, be aware that this may incur additional license costs if you do not have available subscriptions remaining.
If deleting a club, you must have a destination club ready to transfer existing members to.

In order to see the club list you need to go to PGM->Clubs->List of Clubs.

Settings
The following settings are available when adding or editing a club profile.
General Information
Name: The official name of the club (Max 100 characters).
Short name: A shorter version of the name for display purposes (Max 80 characters).
Symbol: A unique identifier or code for the club (Max 5 characters).
Type: The classification of the club selected from a dropdown list.
Club number: The unique numeric identifier for the club (Max 10 characters).
Is hidden: A checkbox that, when selected, hides the club from general views.
Account number: The bank account number associated with the club. The input format may be masked based on the selected country.
Company: The legal company entity associated with this club.
Open date: The official date the club opened or will open.
Accounting account: The specific ledger or accounting reference code for the club (Max 15 characters).
Client Portal Branding: If multi-branding is enabled, this allows you to select a specific branding theme for the Client Portal.
Location information
Country: The country where the club is located. Changing this may affect input masks for bank accounts or postal codes.
Timezone: The local timezone for the club.
State: The state or province, filtered based on the selected Country.
Latitude / Longitude: Geographic coordinates for the club's location.
City: The city where the club is located.
Area Sales Manager: Assigns a specific sales manager to this location.
Region: The operational retail region the club belongs to.
Corporate region: The corporate operational region the club belongs to.
Contact information
Street: The street address (Max 120 characters).
Postal code: The zip or postal code. This field may require a specific format based on the system settings.
Email: The primary contact email for the club.
Telephone: The primary contact phone number.
Building name: The name of the building, if applicable.
Configuration Instructions
Adding a New Club
Navigate to the Clubs view in the System Administration module.
Click the Add club button located in the view header.
In the modal window, fill in the required fields in the General Information section, such as Name, Short name, Symbol, and Company.
Complete the Location information section by selecting the Country, Timezone, and City.
Complete the Contact information section, ensuring the Postal code matches the required mask.
Click the Add button to proceed.
A confirmation prompt will appear regarding licensing costs:
If you have subscriptions remaining, the system will confirm that charges are covered by your existing fees.
If you do not have subscriptions, you must acknowledge that you will be charged for the new club according to terms and conditions.
Confirm the action to save the new club.
Editing an Existing Club
Locate the club you wish to modify in the Clubs grid.
Click the Edit button (pencil icon) in the actions column for that specific row.
Update the necessary fields in the form.
Click the Save button to apply changes.
Deleting a Club
Note: It is recommended to contact support or customer success prior to deleting a club.
Locate the club you wish to remove in the Clubs grid.
Click the dropdown arrow in the actions column and select the Delete option.
A Deleting club modal will appear, displaying the name of the Club to delete.
You must select a destination club in the Transfer all club members to field. This ensures all user accounts associated with the deleted club are migrated to a valid operating club.
Click the Delete button to confirm the permanent removal and member transfer.
Hints
System Responses:
When adding a club, if you have available licenses, the system will display: "Charges for this license are covered by your existing subscription fees. You currently have {0} subscriptions remaining".
If no licenses are available, the system warns: "You will be charged for each new club according to our terms & conditions".
Validation:
The Postal code field validates input against a mask defined by the selected country settings.
The Club number field allows a maximum of 10 characters.
Consequences:
Deleting a club is a significant action that triggers a mass transfer of all associated members to the selected target club. Ensure the target club is prepared to handle these accounts.
Adding a club may trigger an immediate financial charge on your next invoice if your subscription pool is empty.
Quick Actions: The grid provides quick access to other club-related features via the dropdown menu, including Panels, Quick buttons, Club products price list, Product list in warehouse, Club info, Opening hours, and Club gallery.
- Clubs marked as hidden are still available on the list as they are still available for Employees and all of the operations in PG Manager. They are not shown for Members and Guests during the registration process. Users with already created accounts don't have the possibility to log in to the Customer Portal ( The warning: Your club is unavailable will show up after trial to log in).
- Statistics show only current contracts with membership fees greater than 0 (not free ones). If the contract is archived or it is free, member won’t be count here.
Use Case Examples
Example 1: Expanding to a New Location
Goal: To add a new branch in a new city.
Steps/Settings: Click Add club. Enter "Downtown Fitness" in Name, select "US" for Country, and enter the specific Timezone and City. Review the license warning to confirm if this expansion incurs a new fee or uses an existing license slot. Click Add.
Example 2: Creating a Hidden Test Club
Goal: To create a club record for testing configurations without it being visible to the public.
Steps/Settings: Click Add club. Enter the required details. Check the Is hidden checkbox in the General Information section. Click Add.
Example 3: Consolidating Locations (Deleting a Club)
Goal: To close the "Northside Branch" and move all its members to the "Main Hub".
Steps/Settings: Find "Northside Branch" in the list. Select Delete. In the modal, look for the Transfer all club members to dropdown and select "Main Hub". Click Delete.
Example 4: Updating Bank Details
Goal: To update the account number for an existing club due to a banking change.
Steps/Settings: Find the club in the list and click Edit. Navigate to the Account number field. The system will enforce the mask associated with the club's Country. Enter the new number and click Save.
Example 5: Configuring Opening Hours
Goal: To set the operating hours for a club.
Steps/Settings: In the club list, click the dropdown menu for the specific club. Select Opening hours. This opens a separate modal where you can define the schedule.
Example 6: Updating Club Contact Details
Goal: To update the general email address and phone number for a specific branch.
Steps/Settings: Locate the club in the grid and click Edit. Scroll to the Contact information section. Update the Email and Telephone fields with the new contact details. Click Save.
Example 7: Assigning a Club to a New Sales Region
Goal: To move a club under the management of a different regional sales manager.
Steps/Settings: Click Edit on the club row. In the Location information section, locate the Area Sales Manager and Region dropdowns. Select the new appropriate region and manager. Click Save.
Example 8: Configuring a Future Opening Date
Goal: To set up a club profile for a location that is currently under construction and opens next month.
Steps/Settings: Click Add club. Fill in the required Name and Company details. In the Open date field, select the future date on which the club will officially open. Click Add.
Example 9: Hiding a Club During Renovations
Goal: To temporarily prevent a club from appearing in public lists or selections while it is closed for major renovations.
Steps/Settings: Find the club in the list and click Edit. In the General Information row, check the Is hidden box. Click Save.
Example 10: Setting Geographical Coordinates for Maps
Goal: To ensure the club appears correctly on map integrations by setting precise coordinates.
Steps/Settings: Edit the club profile. Under Location information, enter the specific Latitude and Longitude coordinates for the club's physical entrance. Click Save.
Example 11: Applying Specific Client Portal Branding
Goal: To apply a distinct visual theme to a club that operates under a sub-brand.
Steps/Settings: Click Add club or Edit an existing one. If multi-branding is enabled, locate the Client Portal Branding dropdown in the first form row. Select the specific brand theme (e.g., "Premium Black"). Click Save.
Example 12: Linking a Club to a Specific Ledger Code
Goal: To ensure revenue from this club is mapped to the correct general ledger code in the accounting system.
Steps/Settings: Edit the club. In the Accounting account field, enter the specific alphanumeric code (max 15 characters) used by your finance team. Click Save.
Example 13: Closing a Pop-up Location
Goal: To remove a temporary seasonal club and transfer its member base to the main city branch.
Steps/Settings: Find the pop-up club in the grid. Select Delete from the actions menu. In the Transfer all club members to dropdown, select the "Main City Branch". Click Delete.
Example 14: Correcting a Building Name
Goal: To add the building name to the address for better delivery identification.
Steps/Settings: Click Edit on the club. In the Contact information section, enter the name (e.g., "The Shard") into the Building name field. Click Save.
Example 15: Changing the Operating Company
Goal: To reassign a club to a different legal entity within the group.
Steps/Settings: Click Edit. In the Company dropdown field, select the new legal entity responsible for this club. Click Save.
