Automation Rule: User Guest Account Has Been Created
Introduction
This rule automatically sends a notification the moment a new guest account is created, such as when a prospect signs up for a free trial. It's the perfect way to welcome potential new members, make a great first impression, and provide them with key information for their first visit.
- Welcome Potential Members: Instantly send a warm welcome message to new guests and prospects as soon as they register their interest.
- Provide First-Visit Information: Give guests all the details they need for a successful first visit, like what to bring, where to park, or who to ask for.
- Keep Your Sales Team Informed: Automatically notify managers or reception about new leads, so they can prepare to give the guest an excellent experience.
- Automate Lead Engagement: Start the conversation immediately, showing your club is professional and attentive from the very first interaction.
Before You Start
- Navigate to PGM -> Automation -> Automation Rules.
- Press 'Add automation rule' to create a new rule.
- In the pop-up window, follow these steps:
- Create a unique name: For example, "New Guest Welcome Email".
- Select 'Notification' as the Action.
- Select the automation rule: Choose User guest account has been created from the list.
- A new configuration window will open. This rule triggers for every new guest account; there are no specific conditions to add.
Action
Configure who receives the notification and how they receive it.
- Choose the notification type:
- Email: Send a detailed welcome email with information about the club.
- SMS: Send a concise welcome text message (standard SMS costs apply).
- Push Notification: Send a welcome notification to guests using the PerfectGym Go App.
- Select Notification Recipients: Choose who should receive this notification. For this rule, you can send it to:
- The User (the guest who just signed up).
- Reception
- Managers
- (Optional) Set a schedule:
- Send notifications from (HH:MM) / to (HH:MM): Restrict sending to certain times of the day.
- Delay Notification: Wait a specific amount of time after the guest signs up before sending.
- Send notification not more often than (in days): Prevent sending multiple messages.
Notification Content
This is where you create the actual message that will be sent.
For Email:
- Language: Select the language for the notification.
- Subject: Write the subject line for the email (e.g., "We're Excited to Welcome You to [CLUB_NAME]!").
- Template: You can design your email using HTML for a professional look.
For SMS and Push Notifications:
- Language: Select the language for the notification.
- Message: Write a concise welcome message.
Available Tokens
You can use tokens to automatically insert the guest's details into your messages to make them personal and welcoming.
User Tokens:
[USER_FIRST_NAME]: The guest's first name (e.g., "John").[USER_LAST_NAME]: The guest's last name (e.g., "Smith").[USER_NAME]: The guest's full name (e.g., "John Smith").[USER_EMAIL]: The guest's email address.[USER_PHONE_NUMBER]: The guest's mobile or primary phone number.[USER_NUMBER]: The guest's unique ID number.[USER_NUMBER_QRCODE]: A scannable QR code image of the guest's ID number.[USER_HOME_CLUB_NAME]: The name of the guest's primary gym location.[USER_AGE]: The guest's current age in years.

Here is an example of a welcome email you could create for a new guest who has signed up for a trial pass.
Subject: We're Looking Forward to Your Visit, [USER_FIRST_NAME]!
Hi [USER_FIRST_NAME],
Thank you for signing up for a guest pass at [USER_HOME_CLUB_NAME]! We're excited to show you everything our club has to offer.
Your pass is now active, so you can come in for your first visit anytime. When you arrive, please check in at the front desk, and our team will be happy to give you a tour and answer any questions you might have.
We recommend bringing a water bottle and a towel for your workout.
