Automation Rule: Product has been sold
This automation rule triggers an action, such as sending a notification or awarding loyalty points, at the exact moment a product is sold to a member. It's a powerful tool for automating post-purchase communication, delivering important information, and integrating sales with your loyalty program.
- Automate Welcome Messages: Instantly send a "welcome" email with helpful next steps when a new member purchases their first membership.
- Confirm Purchases: Automatically send a purchase confirmation to the member, providing details about the product they just bought.
- Reward Spending: Instantly award loyalty points based on the product purchased or the amount spent, encouraging future sales.
- Keep Everyone Informed: Send notifications not only to the member but also to their parents or your club's reception staff, ensuring everyone is up-to-date.
Before You Start
- Navigate to PGM -> Automation -> Automation Rules.
- Press 'Add automation rule' to create a new rule.
- In the pop-up window:
- Create a unique name for the Automation Centre Rule (e.g., "New PT Pack Welcome Email").
- Choose an Action. For this rule, the most common actions are 'Notification' (to send a message) or 'Add loyalty points' (to reward the purchase).
- Select 'Product has been sold' from the rule list.
- A new configuration window will open. Add conditions to target specific sales. For example, add a condition where
[PRODUCT_NAME]is equal to "10 Pack of Personal Training" to create a special welcome message just for that product. - Select Notification Recipients: This rule can send notifications to the User (the member who made the purchase), their Parents, and your club's Reception staff.
- In Notification Content, create the message you want to send immediately after the sale is completed.
Tokens
Use these tokens to personalize your notification with details about the member, the product sold, and the transaction itself.
- [USER_FIRST_NAME]: The member's first name (e.g., "John").
- [USER_LAST_NAME]: The member's last name (e.g., "Smith").
- [USER_NAME]: The member's full name (e.g., "John Smith").
- [USER_NUMBER]: The member's unique ID number.
- [USER_NUMBER_QRCODE]: A scannable QR code image of the member's ID number.
- [USER_HOME_CLUB_NAME]: The name of the member's primary gym location.
- [USER_HOME_CLUB_EMAIL]: The email address of the member's home club.
- [USER_HOME_CLUB_NUMBER]: The phone number of the member's home club.
- [PRODUCT_NAME]: The name of the product that was sold.
- [PRODUCT_CATEGORY]: The category the product belongs to.
- [PRODUCT_SERVICE_TYPE]: The service type associated with the product.
- [PRODUCT_ITEMS_QUANTITY]: The number of items included in the purchased product (e.g., 10 for a 10-pack).
- [PAYMENT_SOURCE]: The payment method used for the purchase (e.g., "Cash", "CreditCard").
- [SOURCE]: Where the sale took place (e.g., "POS", "MembershipPortal", "Kiosk").
- [SOLD_DATE]: The date the product was sold.
- [SOLD_TIME]: The time the product was sold.
- [MONEY_SPENT_GROSS]: The total gross amount of money spent on the product.

Here is an example of a "welcome and next steps" email that could be sent to a member immediately after they purchase a personal training package.
