Automation Rule: User prepaid balance has changed
This automation rule sends a notification whenever a member's prepaid account balance changes. It allows you to instantly confirm top-ups, provide purchase receipts, and alert members when their prepaid credit is running low.
- Provide Instant Confirmations: Automatically send a thank-you note and receipt the moment a member tops up their prepaid account.
- Keep Members Informed: Send a notification after every purchase made with prepaid credit, showing the amount spent and the new remaining balance.
- Drive Top-Ups: Proactively send a low-balance reminder when a member's credit drops below a certain amount, encouraging them to add more funds.
- Notify Families: Keep parents in the loop by automatically sending them notifications about their child's prepaid account activity.
Before You Start
- Navigate to PGM -> Automation -> Automation Rules.
- Press 'Add automation rule' to create a new rule.
- In the pop-up window:
- Create a unique name for the Automation Centre Rule.
- Select 'Notification' as the Action.
- Select 'User prepaid balance has changed' from the rule list.
- A new configuration window will open. Add conditions to target specific events. This is a very powerful feature for this rule:
- For Top-Ups: Add a condition where
[IS_TOP_UP]is equal toTrue. This rule will only trigger when a member adds money. - For Low Balance: Create a separate rule and add a condition where
[PREPAID_BALANCE]is less than a value (e.g.,10.00). This rule will only trigger when the member's balance drops below that amount.
- For Top-Ups: Add a condition where
- Select Notification Recipients: This rule can send notifications to the User (the member) and/or to Parents if the member is part of a family account.
- In Notification Content, create the message for the specific scenario you are building (e.g., a top-up confirmation or a low-balance alert).
Tokens
Use these tokens to personalize your notification with the member's details and specific information about their prepaid balance.
- [USER_FIRST_NAME]: The member's first name (e.g., "John").
- [USER_LAST_NAME]: The member's last name (e.g., "Smith").
- [USER_NAME]: The member's full name (e.g., "John Smith").
- [USER_NUMBER]: The member's unique ID number.
- [AMOUNT]: The value of the transaction that just occurred (either the amount topped up or the amount spent).
- [PREPAID_BALANCE]: The member's new prepaid account balance after the transaction.
- [IS_TOP_UP]: A true/false value indicating if the transaction was a top-up (true) or a purchase (false). This is ideal for use in conditions.

Example 1: Top-Up Confirmation
(using condition [IS_TOP_UP] is True)
Subject: Thank You! Your Prepaid Account has been Topped Up
Hi [USER_FIRST_NAME],
Thank you for your payment. We have successfully added [AMOUNT] to your prepaid account.
Your new balance is [PREPAID_BALANCE].
You can use your prepaid balance for drinks, snacks, and other purchases around the club.

Example 2: Low Balance Warning
(using condition [PREPAID_BALANCE] is less than 10.00)
Subject: Your Prepaid Balance is Running Low
Hi [USER_FIRST_NAME],
This is a friendly reminder that your prepaid account balance is getting low.
Your current balance is [PREPAID_BALANCE].
To ensure you can continue to make quick and easy purchases at the club, you can top up your account at the front desk on your next visit.
