Automation Rule: Assessment has been completed

This automation rule helps you celebrate your members' achievements by sending them a personalized message after they complete an activity assessment. It’s a powerful tool for boosting motivation and engagement by automatically acknowledging their hard work and progress.

Celebrate Member Success: Automatically send a congratulatory message when a member improves their skills or advances to a new level.
Provide Instant Feedback: Give members a clear summary of their assessment results, showing them exactly what they've accomplished.

Before You Start

Follow these steps to set up a message for when an assessment is completed.

Navigate to PGM > Automation > Automation Rules.
Press 'Add automation rule' to create a new rule.
In the pop-up window, follow these steps:
- Create a unique name for the rule (e.g., "Congrats on Assessment Progress").
- Select 'Notification' as the Action.
- For the trigger, select 'Assessment has been completed'.
A new settings window will open. In the 'Conditions' section, you can choose to send this notification only when a member has made specific progress.
- To send a message only when a member levels up (e.g., from Beginner to Intermediate), add the condition [HAS_MEMBER_LEVEL_PROGRESSED] is True.
- To send a message for any skill improvement, add the condition [HAS_MEMBER_SKILL_PROGRESSED] is True.
In the 'Action' section, choose how you want to notify the member:
- Email: Sends a formatted email. You'll need to enter a 'From email' and 'From name'.
- SMS: Sends a text message (standard SMS costs apply).
- Push notification: Sends a notification to members using the PerfectGym Go App.
Under 'Notification Recipients', this rule will send the message directly to the member who completed the assessment.
In the 'Notification Content' section, create your congratulatory message.

Tokens

Tokens are placeholders that automatically pull specific information into your message. Use them to personalize your message and highlight the member's achievements.

Member Tokens

[USER_FIRST_NAME]: The member's first name (e.g., "John").
[USER_LAST_NAME]: The member's last name (e.g., "Smith").
[USER_NAME]: The member's full name (e.g., "John Smith").
[USER_EMAIL]: The member's email address.
[USER_PHONE_NUMBER]: The member's mobile or primary phone number.
[USER_HOME_CLUB_NAME]: The name of the member's primary gym location.

Activity Assessment Tokens

[ACTIVITY_CATEGORY]: The general category of the activity, like "Strength Training" or "Cardio".
[USER_ACTIVITY_LEVEL]: The member's new, updated skill level for that activity (e.g., "Intermediate").
[CLASS_CATEGORY]: The specific category of the assessment, such as "Learn to Swim" or "Gymnastics".
[LESSON_START_DATE]: The date the assessment took place.
[LESSON_START_TIME]: The start time of the assessment.

Progress-Specific Tokens

[HAS_MEMBER_LEVEL_PROGRESSED]: (For Conditions) A true/false value. Use this to check if the member's overall level has increased.
[HAS_MEMBER_SKILL_PROGRESSED]: (For Conditions) A true/false value. Use this to check if the member has improved in at least one specific skill.
[ACTIVITY_SKILLS_PROGRESSION]: (For Message Content) Displays a detailed list of the member's progress, showing the change in their levels and skills (e.g., "Swimming Level: From Beginner To Intermediate").

Here is an example of an email you could create to congratulate a member who has levelled up. 📧

Subject: You did it, [USER_FIRST_NAME]! Congratulations on your progress!

Message:

Hi [USER_FIRST_NAME],

Great news! Following your recent assessment on [LESSON_START_DATE], you've made fantastic progress. All your hard work is paying off!

Here is a summary of your achievements:
[ACTIVITY_SKILLS_PROGRESSION]

Your new official level for [ACTIVITY_CATEGORY] is now [USER_ACTIVITY_LEVEL]!
