Introduction
This guide is for System Managers. It will walk you through how to view and export historical inventory reports from the warehouse module.
Before You Start
You must have the Warehouse.Inventory.History View permission assigned to your role.
Feature description
To view and export warehouse inventory history, go to PGM->Sale->Inventory History.
Instruction
Navigate to the Warehouse Inventory History page (PGM->Sale->Warehouse Inventory History).
From the Clubs dropdown, select the warehouse you wish to review.
Click the Show button.
The system will load the Inventory History grid, displaying all recorded inventories for that location.
Review the grid to find the specific inventory report you need, identified by its Warehouse name , Inventory date , and Created date.
In the row for that report, click the Report PDF icon to download the report as a PDF document.
Alternatively, click the Report XLSX icon to download the report as an XLSX spreadsheet.
Hints
Report Content: The exported file is an "Inventory difference report" for a specific date, which details the discrepancies recorded for that inventory.
File Formats: The report can be downloaded directly as an XLSX (Excel) file or as a PDF. The PDF file is generated by converting the Excel file.
Discrepancy Highlighting: Rows in the grid with discrepancies (where the old quantity and new quantity do not match) will be automatically highlighted in red.
Loading: A loading indicator will appear while the grid data is being fetched after you click Show.
Download Process: Clicking a download icon (PDF or XLSX) triggers a standard browser file download and does not use the page's normal navigation.
Use Case Examples
Example 1: Viewing All Past Inventories for the "Main" Warehouse
Goal: To see a list of all historical inventory counts for a specific location.
Steps/Settings: Select "Main" from the Clubs dropdown. Click Show. The grid will populate with all completed inventories.
Example 2: Downloading the PDF Report for a Specific Date
Goal: To get the official PDF record of the inventory from October 1st.
Steps/Settings: Select the warehouse, click Show. Find the row with "10/01/20XX" in the Inventory date column. Click the Report PDF icon in that row.
Example 3: Downloading the Excel Report for an Audit
Goal: To get the raw data in Excel format for an inventory count.
Steps/Settings: Select the warehouse, click Show. Find the desired report row and click the Report XLSX icon.
Example 4: Quickly Identifying Inventories with Discrepancies
Goal: To find which past inventories had quantity mismatches.
Steps/Settings: Select the warehouse, click Show. Look for any rows in the grid that are highlighted in red.
Example 5: Checking if an Inventory was Completed Last Week
Goal: To confirm that a required weekly inventory was performed.
Steps/Settings: Select the "Retail" warehouse from the Clubs dropdown. Click Show. Scan the Inventory date column for any dates from the previous week.
