Introduction
This troubleshooting article will help you solve the issues with the Contract auto-renewal process. You will learn which options have to be selected during Payment Plan configuration to allow Contracts under this Payment Plan to renew automatically. You will also learn how to set up automatic Contract renewal on Member Profile.
- This article shows what you can do when the Contract with a specific end date isn't automatically renewing.
- It will be useful to PG Champion, Sales Manager, Club Manager and Club Owner.
Instruction
How to set up Payment Plan renewal?
- Go to the PGM -> Sale -> Memberships -> Payment Plans.
- Select an existing payment plan or create a new one.
- Scroll down to the Setting section and mark the following checkboxes:
- Automatically end contract after commitment period reached.
- Automatic renew - then, choose a given Payment Plan, i.e. the same contract.
- Can be renewed.
4. This will allow the contract to be renewed after its End date. When the Contract ends, the second one will be displayed in the Contracts tab.
How to set up automatic Contract renewal from the Contracts view in Member Profile?
- Go to the PGM -> Clients-> Clients-> Club members.
- Select the member from the list and open their Profile.
- Click on the Contracts tab.
- Click on the More icon on the right hand side - three dots icon.
- Select Change auto-renew from the menu.
- In the pop-up window, from the drop-down list, select the Payment Plan under which the Contract should be auto-renewed
- Select the Start date of the Contract.
- Click on the Save button.
How to force contract renewal?
To enable this feature you must have Force contract renewal permission.
Force renewal is a feature that immediately triggers a contract renewal. You can force renew only contracts with an end date and only if user has no other future main contracts. The feature is available both for active and archived contracts.
- Go to the PGM -> Clients -> Club members.
- Select the member from the list and open their Profile.
- Click on the Contracts tab.
- Click on the More icon on the right hand side - three dots icon.
- Select Force renew from the menu.
The new contract will be automatically created with start date equal to the previous contract end date +1 day. Payment plan will be taken from renewal configuration.
Hints
Remember that the Contract has to end first, for the automatic renewal to run. That is why the checkbox Automatically end contract after commitment period reached in the Settings on Payment Plan configuration has to be always ticked. Otherwise, this set up will not work.
