Automation Rule: User Birthday

Introduction

This rule automatically sends a notification in the days leading up to a member's birthday, allowing you to celebrate their special day. It's a fantastic tool for building member relationships by sending a personalized birthday greeting, a special offer, or simply a warm celebratory message.

• Celebrate Your Members: Automatically send personalized "Happy Birthday" messages to make your members feel valued and appreciated.
• Boost Engagement with Offers: Include a special birthday gift, like a free personal training session or a discount on merchandise, to delight your members and encourage a visit.
• Strengthen Community: Build stronger relationships and a more positive club atmosphere by personally acknowledging your members' special day.
• Automate a Personal Touch: Set this rule up once to ensure no member's birthday is ever missed, saving your staff time while maintaining a personal connection.

Before You Start

1. Navigate to PGM -> Automation -> Automation Rules.
2. Press 'Add automation rule' to create a new rule.
3. In the pop-up window, follow these steps:
   • Create a unique name: For example, "Annual Birthday Greeting".
   • Select 'Notification' as the Action.
   • Select the automation rule: Choose User birthday from the list.
   • A new configuration window will open.
   • Set the Trigger Time: This is the most important step for this rule. It is designed to run before a member's birthday.
     • Enter the number of Days before the birthday you want the notification to be sent. For example:
     • Enter "0" to send the message on their actual birthday.
     • Enter "7" to send the message one week in advance.
   • There are no other specific conditions to add for this rule.

Action

Configure who receives the notification and how they receive it.

• Choose the notification type:
  • Email: Send a vibrant, designed birthday email with an offer.
  • SMS: Send a concise and friendly "Happy Birthday" text message (standard SMS costs apply).
  • Push Notification: Send a celebratory notification to members using the PerfectGym Go App.
• Select Notification Recipients: Choose who should receive this notification. For this rule, you can send it to:
  • The User (the member whose birthday it is).
  • Reception
  • Managers
• (Optional) Set a schedule:
  • Send notifications from (HH:MM) / to (HH:MM): Restrict sending to certain times of the day (e.g., in the morning).
  • Delay Notification: Wait a specific amount of time before sending the message (this is already handled by the main Trigger Time setting).
  • Send notification not more often than (in days): This is an annual rule, so this setting is not typically needed.

Notification Content

This is where you create the actual message that will be sent.

For Email:

• Language: Select the language for the notification.
• Subject: Write a fun and engaging subject line (e.g., "Happy Birthday from all of us at [CLUB_NAME]!").
• Template: You can design your email using HTML.

For SMS and Push Notifications:

• Language: Select the language for the notification.
• Message: Write a friendly and celebratory message.

Available Tokens

You can use tokens to personalize your birthday message with the member's details.

User Tokens:

• [USER_FIRST_NAME]: The member's first name (e.g., "John").
• [USER_LAST_NAME]: The member's last name (e.g., "Smith").
• [USER_NAME]: The member's full name (e.g., "John Smith").
• [USER_EMAIL]: The member's email address.
• [USER_HOME_CLUB_NAME]: The name of the member's primary gym location.
• [USER_AGE]: The member's new age on their birthday.

Contract Tokens:

• [PAYMENT_PLAN_NAME]: The name of the member's payment plan.

Example Output

Here is an example of a birthday email you could create (set to trigger 0 days before the birthday).

Subject: Happy Birthday, [USER_FIRST_NAME]! 🎉

Hi [USER_FIRST_NAME],

The entire team at [USER_HOME_CLUB_NAME] wants to wish you a very happy birthday!

We hope you have a fantastic day filled with celebration. As a small gift from us, we'd like to offer you a complimentary coffee and protein shake on your next visit this week. Just show this email at the front desk to redeem.
