Automation Rule: Last Club Visit
Introduction
This rule automatically sends a notification a set number of days after a member's last visit to the club. It is an essential tool for your retention strategy, allowing you to proactively re-engage members who may be at risk of becoming inactive.
- Re-engage At-Risk Members: Automatically send a "we miss you" message to members who haven't visited in a specific number of days.
- Prevent Member Churn: Proactively reach out to members who are showing signs of inactivity before they consider cancelling their membership.
- Gather Valuable Feedback: Use this as an opportunity to ask members why they haven't visited recently to gain insights and improve your club's services.
- Automate Your Retention Efforts: Set up a simple, automated process that works in the background to keep your members engaged and active.
Before You Start
- Navigate to PGM -> Automation -> Automation Rules.
- Press 'Add automation rule' to create a new rule.
- In the pop-up window, follow these steps:
- Create a unique name: For example, "30-Day Inactivity Follow-Up".
- Select 'Notification' as the Action.
- Select the automation rule: Choose Last club visit from the list.
- A new configuration window will open.
- Set the Trigger Time: This is the most important step for this rule. It is designed to run after a member's last visit.
- Enter the number of Days after the last visit you want the notification to be sent (e.g., enter "30" to send the notice to anyone who hasn't visited in 30 days).
- (Optional) Add Conditions: You can filter which members receive this notice. For example, you could set a condition to only send it to members whose last visit was at a specific club, using the
[VISITED_CLUB_NAME]token.
Action
Configure who receives the notification and how they receive it.
- Choose the notification type:
- Email: Send a detailed re-engagement email with an offer or class suggestions.
- SMS: Send a concise "we miss you" text message (standard SMS costs apply).
- Push Notification: Send a re-engagement notification to members using the PerfectGym Go App.
- Select Notification Recipients: Choose who should receive this notification. For this rule, you can send it to:
- The User (the member who has not visited).
- Reception (staff at the club the member last visited, as well as their home club).
- (Optional) Set a schedule:
- Send notifications from (HH:MM) / to (HH:MM): Restrict sending to certain times of the day.
- Delay Notification: Wait a specific amount of time before sending the message (rarely used with the time-based trigger).
- Send notification not more often than (in days): Prevent sending multiple messages.
Notification Content
This is where you create the actual message that will be sent.
For Email:
- Language: Select the language for the notification.
- Subject: Write an engaging subject line (e.g., "We've Missed You at [CLUB_NAME]!").
- Template: You can design your email using HTML.
For SMS and Push Notifications:
- Language: Select the language for the notification.
- Message: Write a concise and friendly message.
Available Tokens
You can use tokens to personalize your message with details about the member and their last visit.
User Tokens:
[USER_FIRST_NAME]: The member's first name (e.g., "John").[USER_LAST_NAME]: The member's last name (e.g., "Smith").[USER_NAME]: The member's full name (e.g., "John Smith").[USER_EMAIL]: The member's email address.[USER_HOME_CLUB_NAME]: The name of the member's primary gym location.
Contract Tokens:
[PAYMENT_PLAN_NAME]: The name of the member's payment plan.
Last Visit Tokens:
[VISITED_CLUB_NAME]: The name of the specific club location the member last visited.[ENTRY_DATE]: The date of the member's last visit.

Here is an example of a "we miss you" email you could create (set to trigger 30 days after the last visit).
Subject: We've Missed You at [CLUB_NAME]!
Hi [USER_FIRST_NAME],
It's been a little while since your last visit on [ENTRY_DATE], and we wanted to reach out and say we miss seeing you at the club!
