Introduction
Access rules are connected with payment plans types and are created to define which club, what time and which zone type a club member or a guest can enter to. Depending on different payment plans, you can provide access to specific clubs - basic or premium, different zone types - open or gym only, and according to specific opening hours - mornings only or unlimited access.

This feature is divided into two main components: the Access Rule Set (the container) and the Access Rule (the specific rule).
Access Rule Set Settings
These are the settings for the main "Set" of rules, configured from the Add new set of rules modal.
Name: (Required) The primary display name for the rule set (e.g., "Gold Membership," "Off-Peak Access").
Is active: A checkbox that activates or deactivates the entire set of rules.
Ignore finger print validation: When checked, this rule set will bypass any fingerprint validation checks upon entry.
Penalty fee: A dropdown menu that allows you to select a specific product to be charged as a penalty, typically for access violations.
Access Rule Settings
These are the settings for an individual rule within a set, configured from the Add new rule modal.
Description: (Required) A clear, user-friendly description of what the rule does (e.g., "Weekday Morning Access - Main Gym").
Is active for new clubs: When checked, this rule will automatically be applied to any new clubs created in the system in the future.
Parent clubs: (Required) A multi-select dropdown to choose the member's "home" or primary club(s). This rule will only apply to members who belong to one of the selected parent clubs.
Allowed clubs: A multi-select dropdown to choose the clubs that a member is allowed to enter using this rule.
Zone types: A multi-select dropdown to choose the specific club zones (e.g., "Pool," "Gym Floor") that the member is allowed to enter using this rule.
ScheduleTable: A visual weekly timetable grid used to define the exact days and times that this access rule is valid.
Step-by-Step Instructions
This process involves first creating a "Set," then adding one or more "Rules" to it.
Create a New Access Rule Set
Navigate to the Access Rules management page.
Click the Add new set of rules button.
The Add new set of rules modal will open.
Enter a Name for the set (e.g., "Corporate Access").
Check the Is active box to enable the rule set.
Configure the Ignore finger print validation and Penalty fee settings as needed.
Click Save. You will receive a notification: "Your access rule set was successfully saved".
The modal will close, and the main grid will refresh.
Add an Access Rule to the Set
Find your new rule set in the main grid.
On the row for your set, click the Show rules button.
A detail panel will expand below the row, showing the rules for that set. (If it's a new set, it will display "This set is empty" ).
At the bottom of the detail panel, click the Add new access rule button.
The Add new rule modal will open.
Enter a Description for the rule (e.g., "All Clubs - 24/7 Access").
Select the Parent clubs this rule applies to. This field is required.
Select the Allowed clubs and Zone types the member can access.
Use the ScheduleTable to click and drag the specific times and days this rule is active.
Click Save. You will receive a notification: "Access rule was successfully saved".
The modal will close, and the detail grid will refresh, showing your newly added rule.
Hints
Filtering: The main list of rule sets can be filtered by status (All, Active only, Inactive Only) or by name using the Find Access rule search box.
Editing a Set: To edit a rule set's properties (like its name or penalty fee), click the dropdown menu on its row in the main grid and select Edit.
Editing a Rule: To edit an individual rule's details (like its schedule or allowed zones), first click Show rules , then click the dropdown menu on the rule's row in the detail grid and select Edit.
Deleting a Set: Deleting a rule set is permanent and requires confirmation. The system will ask: "Are you sure you want to delete access rule set [Name]?".
Deleting a Rule: Deleting an individual rule also requires confirmation: "Are you sure you want to delete access rule [Name]?".
- To choose various periods of access rules for each day of the week, please hold CTRL while selecting period. This section gives you the possibility to add quarters to the time limits of your membership type. You can select hours like 6:15 or 9:45. You can also indicate that the member can access only specific zones of the club.
Important: Remember to add time access to predefined Employee access rule, otherwise employees won’t be able to enter the club.
Use Case Examples
Here are some common scenarios for configuring access rules.
1. "Gold" All-Access 24/7 Rule
Goal: To create a rule for "Gold" members that grants them 24/7 access to all clubs and all zones.
Settings (Rule):
Description: "Gold 24/7 All-Access"
Parent clubs: Select all clubs (e.g., "Club A," "Club B," "Club C").
Allowed clubs: Select all clubs (e.g., "Club A," "Club B," "Club C").
Zone types: Select all zones (e.g., "Gym Floor," "Pool," "Sauna").
ScheduleTable: Select all time blocks for all 7 days of the week.
Is active for new clubs: Check this box to ensure this rule applies to future clubs.
2. "Silver" Off-Peak Rule
Goal: To create a rule for "Silver" members that only allows access to their home club during off-peak hours (9:00 AM - 4:00 PM) on weekdays.
Settings (Rule):
Description: "Silver Weekday Off-Peak"
Parent clubs: Select "Club A," "Club B," "Club C".
Allowed clubs: Select "Club A," "Club B," "Club C" (This implies they can only access the club they are a parent member of, but only during these times).
Zone types: Select "Gym Floor".
ScheduleTable: Select only the time blocks from 09:00 to 16:00 for Monday, Tuesday, Wednesday, Thursday, and Friday.
3. "Pool Only" Access Rule
Goal: To create a rule for a "Swim-Only" membership that grants access to the "Pool" zone at "Club A" but no other clubs or zones.
Settings (Rule):
Description: "Club A - Pool Access"
Parent clubs: Select "Club A".
Allowed clubs: Select "Club A".
Zone types: Select only "Pool".
ScheduleTable: Select all time blocks for all 7 days of the week.
4. "Cross-Club" Access (Multi-Club Membership)
Goal: To create a rule where members of "Club A" (Parent) can also access "Club B" (Allowed), but not the other way around.
Settings (Rule):
Description: "Club A Members access to Club B"
Parent clubs: Select "Club A".
Allowed clubs: Select "Club A" and "Club B".
Zone types: Select "Gym Floor".
ScheduleTable: Select all time blocks.
(Note: A member from Club B would not get this benefit unless a separate, reciprocal rule was created with "Club B" as the Parent).
5. Rule Set with Fingerprint Bypass and Penalty
Goal: Create a rule set for "VIP" members that bypasses fingerprint scanning and assigns a penalty for access violations (if any rules had time restrictions).
Settings (Rule Set):
Name: "VIP Members"
Is active: Checked.
Ignore finger print validation: Checked.
Penalty fee: Select "Access Violation Fee" from the product list.
6. Regional Access (Multiple Rules per Set)
Goal: To create a "Regional" rule set where members from a main club ("Club A") get full access to all clubs, but members from satellite clubs ("Club B," "Club C") can only access their home club.
Settings (Rule Set):
Name: "Regional Access"
Settings (Rule 1):
Description: "Club A - All Access"
Parent clubs: Select "Club A".
Allowed clubs: Select "Club A", "Club B", "Club C".
Zone types: Select all zones.
ScheduleTable: Select all times.
Settings (Rule 2):
Description: "Club B - Home Access Only"
Parent clubs: Select "Club B".
Allowed clubs: Select "Club B".
Zone types: Select all zones.

Settings (Rule 3):
Description: "Club C - Home Access Only"
Parent clubs: Select "Club C".
Allowed clubs: Select "Club C".
Zone types: Select all zones.
ScheduleTable: Select all times.
Outcome: A member whose home club is "Club A" will match Rule 1 and gain access to all three clubs. A member from "Club B" will only match Rule 2 and will be denied entry to Club A and C.
7. "Access Denied" Rule
Goal: To create a rule that actively blocks all access, often assigned to contracts such as Corporate Invoicing, or as an individual override for members who are suspended or have non-payment issues.
Settings (Rule):
Description: "No Access"
Parent clubs: Select all clubs.
Allowed clubs: Leave this field empty.
Zone types: Leave this field empty.
ScheduleTable: Ensure the schedule grid is completely empty (no time blocks selected).
Outcome: Even if a member scans at their parent club, the rule provides no allowed clubs, no allowed zones, and no valid time window. Access is denied 100% of the time.
8. "Booking Only" Access (e.g., for Courses)
Goal: To create a rule for a member who only buys specific courses or appointments and should not have general gym access. Their access will be handled by a separate booking validation, so this rule's job is to deny all passive access.
Settings (Rule):
Description: "No General Access - Booking Only"
Parent clubs: Select all clubs.
Allowed clubs: Leave this field empty.
Zone types: Leave this field empty.
ScheduleTable: Ensure the schedule grid is completely empty.
Outcome: This configuration is identical to the "Access Denied" rule. It blocks all standard access, forcing the member to rely on a different system (like a class check-in or a booking validation at the access point) to gain entry.
9. Complex Zone & Time Rule (Premium Membership)
Goal: To create a "Premium" set for "Club A" that gives different access times for the main gym, the 24-hour door, and the pool.
Settings (Rule Set):
Name: "Club A - Premium Zone Access"
Settings (Rule 1 - Gym Floor):
Description: "Club A - Gym Floor (Staffed Hours: 6am-10pm)"
Parent clubs: Select "Club A".
Allowed clubs: Select "Club A".
Zone types: Select "Gym Floor".
ScheduleTable: Select 06:00 to 22:00, Monday-Sunday.
Settings (Rule 2 - 24/7 Door):
Description: "Club A - 24/7 Door (Unstaffed Hours)"
Parent clubs: Select "Club A".
Allowed clubs: Select "Club A".
Zone types: Select "24/7 Access Door".
ScheduleTable: Select 22:01 to 05:59, Monday-Sunday (all hours outside the main gym hours).
Settings (Rule 3 - Pool):
Description: "Club A - Pool (Morning/Evenings only)"
Parent clubs: Select "Club A".
Allowed clubs: Select "Club A".
Zone types: Select "Aquatic Pool".
ScheduleTable: Select 06:00 - 10:00 and 16:00 - 20:00, Monday-Friday.
Outcome: A member with this set can enter the "Gym Floor" zone only during staffed hours. If they try to enter the "24/7 Access Door" zone during unstaffed hours, Rule 2 grants them access. They can only access the "Aquatic Pool" during its specific limited hours.
