Introduction
From this article, you will learn how to add Notes to the Member profile in PGM.
Notes are a useful tool if you need to:
- share a short information related to a certain club member with other club employees using PGM or POS and viewing club member profile,
- temporary block access to the club for a given club member in case a certain action is required.
In POSweb, the information that the Note was added to the Member Profile will be displayed in form of a yellow triangle icon next to the member photo. It will disappear when you will archive the Note. If you are interested in adding notes via POSweb, go to this article.

Before you start
Check if you have proper employee permissions. You can do it by yourself, or ask your manager, or system Administrator for help.
- To check system permissions on your own, go to the PGM -> Clubs -> System permissions. Click on the Permissions button on the left of your role. In the search bar, enter the phrase Note. You can also search for it manually: System Administration -> User Notes. This article will guide you through the process of changing system permissions for your role in a more detailed way.
- You would need to have the following permissions set:
Additional permissions Edit system notes and Archive system notes should be used mindfully, since it allows the user to manage notes added by the system.

There are two key types of notes - Regular ones and Blocking club access notes. Both can be pinned to the top position, which gives them higher priority in the pile. In total, there are four types of notes:
1. Pinned Blocking Notes
2. Blocking Notes
3. Pinned Regular Notes
4. Regular notes
How to add notes to the Member profile?
There are three different ways of adding notes:
- from the Member list
- from the Member profile screen
- from the Member data screen
Adding notes from the Member list
1. Go to the PGM -> Clients -> Club Members
2. Select the checkbox next to a member you intend to add the note to
3. Select the Note button
4. Enter the Note Content.
5. Click on the Save button.
6. Click Yes to confirm.
Adding notes from the Member profile screen
1. Go to the PGM -> Clients -> Club Members
2. Select a member you intend to add a note to.
3. Select the + button next to the Notes headline.
4. Enter the Note Content.
5. Click on the Save button.
Adding notes from the Data screen
1. Go to the PGM -> Clients -> Club Members
2. Select a member you intend to add a note to.
3. Go to the Data tab.
4. Select Notes tab.
5. Click on the Add note button.
6. Enter the Note Content.
7. Click on the Save button.

In the Note screen, you can select two note types - blocking notes and pinned notes - options: On / Off, and the note content to be entered according to your needs.
Information on club members with blocking interaction on their profile is available in the Users Interaction Report, in column H.
Allow member to still book class
If you have put a blocking note on a member, you may still want them to be able to book into a class. The purpose of a blocking note may be to just stop the member at reception, but you still want to allow class bookings.
To allow this, go to System Settings > Class booking limits > Tick this box
If you don't want members with a blocking note to book classes, just keep it unticked.
This will only relate to class timetable bookings. There is a separate setting for facility bookings.
