Introduction
This guide will help you increase the prices of payment plans for all contracts attached to the payment plan from a set date. It allows you to make a change of a Membership fee, Joining fee or Administration fee in a single Payment plan.
Mind that you can change membership fees in bulk in PGM -> Settings -> Support Tools but not joining fees or administration fees.
Before you start
This feature works for every single Payment plan for the Membership fee, Joining fee, and Administration fee.
- This will only change the price of the full membership price from date X. It will not pro-rata values from X date to the next payment interval date.
- If you are changing the membership fee of course-based payment plans, this process will only work for Cost per interval methods. For Cost per class method, please use the Enrolment rule.
Instruction
1. Go to PGM -> Sale -> Payment plan.
2. Using the filters, find the Payment plan you wish to change the price.
3. To edit it, press the pencil icon next to the payment plan name.
4. Select the Calendar icon next to either the Membership fee, Joining fee or Administration fee.
DO NOT edit the price in the Membership fee field, Joining fee field, or Administration fee field. Changing these fields will recalculate every transaction line past and future to the new fee.
5. Press Add new record.
6. Fill in the following fields:
- Effective from - Enter a date when the new price will start from.
- Amount - Enter in the new amount that the price of the Membership fee, Joining fee or Administration fee will be from the effective from date.
- VAT rate - Select the tax rate used for this membership fee.
If you are only changing the Membership fee and not the Joining fee or Administration fee, then move to the next step. If you are changing multiple fees, complete the above steps for each of the fees you are changing to your payment plans.
7. Once entered in, press the blue tick to save this line, and close.
The Effective from date will charge the next Membership fee at the new rates, this will not pro-rata the values between the payment intervals (direct debit periods).
8. Scroll down to save the details on the payment plan.
9. Scroll down to the bottom of the page and press Update.
10. The screen will move to the top of the page with the current payment plan all greyed out. Scroll down to the bottom of the page.
11. This will display all the contracts which will be affected by this calculation. Press Confirm update with recalculate x contracts in the background to start the recalculation.
NOTE: If any other part of the payment plan was edited, a recalculation will also change all contracts with this new edit.
Use Case #1
How does the Membership fee look on the Member profile for direct debit/recurring memberships?
In this example, we have the payment plan "Generic Fortnightly" having a price increase on 01/09/2021 from $40.00 to $41.00.
For this member, who has a standard contract with no contract discounts attached to the contract, they will get the price rise on the next payment interval due date (13/08/2021).
There will be no pro-rata charges done in-between these dates from the price rise date to the first payment interval due date.
For this member who has a contract discount against their contract (Percentage discount or amount discount only)
For contracts where there is a contract discount using a fixed value, this will not modify the contract with the new price until either the discount ends or the contract ends.
If you are using the contract discount "Set at fixed value", this will override all price modifications and keep the price at the fixed value.
Use Case #2
How does the membership fee look on the Member profile for Upfront memberships?
In this example, we have the payment plan "Generic 12m Upfront" having a price increase on 01/09/2021 from $500.00 to $510.00.
Any member who has a contract start date before this date will not be affected by this price rise.
If the member contract start date falls on or after the payment increase date, they will get the new price.
If a member signs up for a contract before the price increase for that payment plan has been implemented on PerfectGym, for a start date after the price rise is supposed to start. Their contract will be recalculated and show debit/credit as there will be a variance to what they paid to the new contract price.
Hints
- If you make a mistake completing the new price schedule, you can delete the new 'schedule' by selecting the bin icon next to the new price, and re-enter the correct amount.
