Introduction
This article will display how to batch cancel classes and courses.
Before you start
To enable Batch edit class feature, the employee permission Batch deletions will need to be turned on. Additionally System administration->Time tables->Time table -> Edit -> All needs to be turned on to allow edits of any classes..
This can be found in PGM->Clubs->Employee Permissions
Instruction
Go to PGM->Classes->Timetable to access the timetable.
On the top right hand corner of the timetable click the orange option area, this will reveal additional options which will affect the timetable.
Press Batch class cancellation.
This will bring up a new screen which will allow you batch cancel classes for a period of time.
The filters for Class Types and Class Categories is new in R84 and will not be available in previous versions
From / To - This will allow you to select the date and time range when the classes need to be cancelled.
Club zone - This will allow to select individual zones to where the class is cancelled.
Class type - Select if only single classes, courses or all classes are affected.
Single classes are classes not connected to the course module, for example group fitness classes.
Class category - Select only classes from selected class category.
Class occurence - Select if the filter should display all classes, or only if the class falls on selected days of the week.
When you select filters, the classes will be displayed based on what filter is selected. The following columns will be displayed:
- Classes - Name of the class.
- Start date - Start date/time of the class.
- Duration - How long this class will run.
- Class category - Which class category this class belongs to.
- Course - If this is ticked, then the class belongs to a course/group. If unticked this is known as a single class.
In order to cancel classes, you will need to either select the individual classes by selecting the tick boxes next to the class name.
Or by selecting the tick box above all classes to select all classes.
Press Next to proceed to the next screen.
You will need to select the refund model.
Standard refund - This will use the refund model set in the class category (single classes) or enrolment rule (courses). If you are unsure what rule is used, select custom refund.
Custom refund - Selecting custom refund will allow you to select what will happen to a club members transaction when the class is cancelled.
- Money or product - Depending on how the club member booked the class, will determine how this return/refund will be applied. This is the common setting used.
- Casual booking products (BookingEvent) - This will return the product to the club member to use at another time.
- Course cost per class - This will delete the contract transaction from the club members profile for that class. If they have already paid then this will use that payment for a future contract transaction, If they have not paid then they do not owe anything.
- Contract booking (limits per payment interval) - For club members where they have limited class bookings per interval based on their contract, this will cancel the class and they can book another class within that payment interval.
- Make up product - This will provide a make up product to the club member to use at another time. Any type of payment they have made will not be removed, if they have used a product to make the booking, this product will still be used.
- No Return - This will use the product / keep the contract transaction in place.
Press Submit to run the batch class cancellation.
A progress screen will run, allowing you to see how many classes have been cancelled. If you close this screen the task will still run in the background, however you will not be able to track its progress.
Classes cancelled will be displayed in Grey on PGM, however will not be displayed in client portal.
