Introduction
This article will detail all features of the group details within the timetable.
Class overview
Go to PGM->Classes->Timetable. Select a class on the timetable that is not part of a group/course.
Class
After opening a class, the following screen will open which will display who is currently enrolled into the class.
Class - This displays the class name, date, start and end time.
Club zone - This displays the name of the zone the class will be held in.
Enrolling member or guest to class
Enrolling - Enter in the name or user number of the club member you wish to enrol into this class
This will bring up a drop down of all members matching the name / user number.
Highlighted is the full name and user number of the club member, and a status if they are a member or guest.
Multi booking - If the setting "Is multi booking allowed" is set to true. This will allow the same member to book multiple times into the same class. Set to false by default. This setting is configured in PGM->Settings->System Settings.
Multi booking can be useful i.e. in case of hotel guests using the fitness facility, or when a member wants to come to the class with a friend, who is not a club member.
Enroll - Press this button to enrol the club member into this single class.
Member will be added to the bottom of the list, or on standby if the class is full and the standby limit is not full.
Currently enrolled into class
Members signed for class - This shows the members currently enrolled in the class (including standby list numbers) with the maximum capacity of the class.
Marking presence/absence - To set a club member/group of club members present or absent, either click on the tick box to the left of their name or select the tick box to the left of the title "User name". Then either press Set presence or Set absence.
User name - User name of the member who is booked into the class. The order of members is by booking date/time.
Number - User number of the club member.
Presence - This is an indicator that the club member is present (tick) or has not been marked present (cross).
Depending on the setup of access control, this may be configured to automatically mark the club member as being present to the class when they scan into the centre.
Booked seat - This displays the seat number of the booking (if used).
Additional options
Show profile - Clicking on this link will take you to the member's profile.
It is recommended to right-click and open in a new tab. This will allow you to stay on the class tab.
Sign out from this class - This will remove the club member from the class. The next screen is the refund option giving you the choice on how to handle the return policy for the class booking.
Choose refund - Select a suitable refund/return for the club member when they sign out of a class.

Money or product - depending on how the member booked, this will do the following:
- If a member booked with a contract transaction, this will delete the contract transaction.
- If a member booked with a contract add on, this will return the booking to the count of available bookings in period.
- If a member/guest booked with a product, this will return the product back to the member to use another time.
- Make up product - This will consume the contract/product booking, however, will provide a product to be used at another time. You can select the product from the list.
- No return - This will consume the contract/product booking, with no return possible.
- Ignore the refund limit - If there are settings that prevent the return of a product, this will prevent that from happening (eg. Max time to cancel class).
Standby list
This displays the members on the standby list. Settings are found in PGM->Settings->System Settings under Bookings->Standby list.
You can move the position of the club member on the standby list by clicking on the arrows.
If a club member in the class cancels their booking, the club member/guest listed first on the stand by list will automatically be promoted to the class.
Additional options
Pressing the additional options button allows you to do the following:

Delete - Delete the class, this will not count towards any cancelled classes.
Only use Delete / Delete all recurring of this event if you do not wish to run the class in the future. If this is a temporary removal of a class, however class is still running in the future, use Cancel Class. - Delete all recurrings of this event - If the class recurs, this will delete all future classes (excluding this class). Only do this if you plan not to run this class again.
Once you finish deleting all recurring classes, press Delete to delete the current class on screen.
- Cancel class - This will cancel the class. Club members can be notified of a cancelled class using an Automation centre rule.
- Download List (XLS) - Download an XLS document with all current members in class.
Restore - This will restore the class only. This option will only appear when you are in a class that has been cancelled.
Any club member originally enrolled into the class will need to be manually re-added in by pressing the ... to the right of the club member in the members enrolled tab and selecting the Restore bookings option. If you plan to restore with all bookings, please use the Restore with bookings option.
Restore with bookings - This will allow you to restore the class, as well as restore the bookings of any member who was not cancelled from the class.
This feature will be available on version R85
This will open a new screen allowing you to choose which members to restore the bookings.
If no members were signed in for the class you are restoring, however, are members of the group, this will not restore their bookings.
- Tick boxes - Select which club members will have their booking. Selecting the tick box next to the club members name will restore their booking, selecting the tick box on the header will select all club members who can be enrolled.
- Full name - Full name of the club member.
- User number - User number of the club member.
- Can be enrolled - This is a check to see if they can be re-enrolled into the class. If the member is a guest and used a product to enter the class, this may not allow them to re-enter the class without a new product.
- Message - If the member cannot be re-enrolled into the class, the message will be displayed here on why they cannot be enrolled.
Press Submit to continue.
Send message - This option will send a notification (message) to all members booked into the class. Automation rule "Class has changed" must be set up in order to use this rule. Also the trainer must have this system permission:
Title - Title of message.
Content - The message you type here will appear in the tag [[MESSAGE]].
SMS - Send notification as SMS to the club member.
Email - Send notification as email to the club member.
Press Send.
Edit class - This allows you to edit the class for a single class only, or permanently for all future occurances. More information on how to edit a class can be found here.
Hints
