Introduction
If your club member would like to change their home club, this article will explain how to do it.
Remember that prior to transferring a member to a new club, all payments of that member have to be settled in the parent club.
Before you start
Depending on your system permissions, some functions may not be available from the start. If that is the case, change your system permissions for: Users -> User details -> Transfers. This article will help you do it.
In order to manage each club transfer type, you need a different set of permissions:
Force club transfer
- Add/ Edit/ Delete force club transfer
Standard club transfer
- Add/ Edit/ Delete standard club transfer
Continuation club transfer
- Add/ Edit/ Delete continuation club transfer

How to transfer a club member to another club?
1. Go to the PGM -> Clients-> Clients -> Club members
2. Select the member from the list and open their Profile.
3. Select the Contracts tab and click on the Transfers tab.
4. Click on the Transfer to new club button to create a transfer.
5. After pressing Transfer to new club, a new screen will display with options on the transfer.
You will see the following member data: who is transferring, from and to which club.
Type of transfer - Choose one of the following club transfers:
- Force - you can transfer the membership like-for-like from club A to club B, retaining original contract start/end/commitment dates
- Standard - you can end membership in club A and start a new membership from the ones offered in club B with new start/end/commitment dates
When you chose Standard transfer, the Contract End date in the parent club will be one day earlier than the planned transfer. The beginning of the contract in the target club is always settled the same as the date when the transfer starts. In the Standard option, you can choose only from memberships that are available in the target club.
- Continuation - you can end membership in club A and start a new membership from the ones offered in club B with a new start date but retaining end and commitment dates
Standard and continuation transfer types are available from system version R87 only!
Target club - Select the new club the member would like to be transferred to.
Transfer date - Select the transfer date for the club member to be transferred to a new club.
In case of Standard and Continuation transfer types, this date will be also the start of the new contract. Setting the transfer date for the current or past date will transfer the member immediately after creating the transfer order. If the transfer is set for another day, it will be scheduled and run according to Users.HomeClubTransfers.Task. See Hints for more information. It will be available from R88 system version.
- For Force transfer type - click Transfer to create the transfer.
- For Standard and Continuation type, click Transfer and select payment plan to configure a contract in new club.
6. Select the Payment plan the member wants to use in the new club.
7. Optionally, add contract discounts if available.
8. Choose a new contract payment method.
9. Click Done.
This will create a new line within the transfer tab, which will display all previous history.
- If the transfer has already been executed, you'll see a tick icon next to it.
- If the transfer has been scheduled and has not been executed yet, there will be a clock icon.
Updating and deleting a transfer
If the transfer is scheduled and not executed yet, you can update (permission UsersUserDetailHomeClubTransfersEdit) or delete it (permission UsersUserDetailHomeClubTransfersDelete) by clicking Edit or Delete action in the context menu:
When updating, you cannot change transfer type.
You can still preview the deleted transfers after ticking "Show deleted" checkbox:
Hints
If you are transferring a guest, you can just edit the club member profile in Data -> Edit and change the home club.
If you would like to set up the Users.HomeClubTransfers.Task or edit its value, go to the PGM -> Settings -> Task Management.
- Use the search box to find this task. If the task is active, you will see a tick in Enabled in JobServer. Cron description value means the time this task will be executed. This value can be adjusted by the club.
- Click on three dots to Edit.
