Introduction
In this article, you will go through a scenario where a member signs up for payment plan allowing to book one type of workshop within entire workshops category. This solution was requested from the client who has workshop offer for groups, schools to be specific, so the entire slot is basically booked by one client, which makes more sense. However, with a few additional clicks it can also work for single users as well.
- This article is for those club employees who manage class bookings, cancellations, class configurations and also communication with members in this regard.
Before you start
Areas concerned in the article are classes configuration, payment plans and contract extras. Before you will test this on your own, you can refresh your knowledge on those topic through following articles: contract extras, payment plans, classes configuration and this one for classes in the client portal.
Instruction
Create a specific class category with several class types within (themed workshops) and payment plan with attached contract extras allowing to book the workshop.
STEP 1
Firstly, you need to configure your classes starting from the Class Category.
- Go to Classes -> Class Categories.
- Click Add Class Category.
On the screenshot below is presented an example.
Within this category, two workshop types have been configured.
You can create your desired class through Classes -> Class Types and simply follow guidelines from the before mentioned article.
STEP 2
Next step would be to schedule this class type through the Classes Calendar. Simply click on Classes on PGM top panel and then click any spot on the schedule. You will now define hours, duration, days, club, limits etc.
STEP 3
Now, you can prepare contract extra:
- Go to Sale -> Contract Extras.
- Click Add new contract extras button in the top right corner.
The one already created looks like this:
STEP 4
Last part is adding Payment Plan with the contract extra. In order to do that:
- Go to Sale -> Payment Plans
- Click Add New Payment plan button in the top right corner.
STEP 5
Next, you can register a Test Member with this payment plan.
STEP 6
Now, the user will process the booking in the Client Portal.
Workshops (type of the classes which you have just configured above) are available in the Client Portal (and Mobile Application if used). All that has to be done now is to book it.
STEP 7
Now, the user wants to change his mind and switch to other type of a workshop. If you want to do that without processing cancellation and additional booking:
- Go to PGM -> Classes Schedule.
- Go to the Class that has been booked and change its type.
- Then, go to Classes and click on it so the classes calendar will open.
- Find your Class with the booking done by the member and change the Class Type as shown in the screenshot below.
If it is necessary to change to class time, you can also do it .
