Before you start
To add a new product to the system, you will need to follow a specific sequence of steps. To begin, navigate to PGM -> Sale -> Product. Once you are in the Products section, look for the button labeled ⊕︀ Add product. By clicking on this button, you will initiate the process of creating a new product, allowing you to input all necessary details and specifications required for the new entry.

- Go to PGM -> Sale -> Product.
- Click Add new product.
- Select Service as the product type.
- In the Product details section:
- Enter the Name (maximum 200 characters).
- Select the appropriate Category or add a new one.
- Enter a detailed Description (maximum 255 characters).
- Set the Unit of Measure to "Piece".
- Choose the relevant Service Type (ClubEntrance or AllClubEntrance).
- In the Prices & Taxes section:
- Enter the List price.
- Choose Gross or Net for pricing.
- Optionally enable Allow price modification on POS.
- Select the appropriate VAT/GST.
- Optionally enter a fixed Cost.
- In the Availability section:
- Select the relevant Clubs where the product can be sold.
- Optionally enable Select all future clubs.
- Define who the product is Available for (Everyone, Members with active contracts, Specific payment plans, Specific Tags, User without contracts).
- In the Settings & Limits section:
- Ensure Store State is not checked.
- In the Others section, note that Threshold, Internal Code, and Barcodes are not applicable.
- In the Accounting section:
- For custom accounting module users, add a Charge Code.
- For Australia and New Zealand accounting, link the product to ledgers in PGM / Accounting.

Name - The name of the product is a crucial element, as it will be prominently displayed in both POSWeb and PGM platforms. It is important to note that the maximum allowable length for this product name is 200 characters. You have the option to select the desired category by utilizing the drop-down menu that is conveniently provided for your use. Alternatively, if you find that the category you need does not already exist, you can simply press the Add new category button, which will allow you to create a new category tailored to your specific requirements. This functionality ensures that you have the flexibility to categorize your items effectively, whether by choosing from existing options or by adding something entirely new to fit your needs.

Unit of Measure - Please select "Piece" for the club entrance product.

In the majority of cases, this unit of measure is typically designated as Piece. This means that when you are dealing with most products, you will be measuring them in individual units, which simplifies inventory management and sales processes. Service Type - Select an appropriate service type which is connected to the product.
- ClubEntrance - Access to the services and features associated with the product is granted exclusively to the specific club from which the product was originally purchased. This means that only members of that particular club will have the privileges and rights to utilize the product, ensuring that access is limited to the intended audience. The exclusivity of access is designed to maintain the integrity and value of the product within the community of its original purchasers.

AllClubEntrance - The product offers users the unique advantage of gaining access to all clubs, regardless of where the purchase was made. Prices & Taxes
List price - The sale price of the product is a crucial aspect that can significantly influence purchasing decisions. It represents the amount of money that customers are required to pay in order to acquire the product. Understanding the sale price is essential for both consumers and businesses alike, as it can affect demand, profitability, and overall market dynamics. The sale price is often determined by various factors, including production costs, market competition, and perceived value among consumers. Gross / Net - When it comes to determining the list price for your products or services, you have the flexibility to choose between two distinct pricing strategies. You can opt to set the list price as the Gross price, which is the total amount that includes tax, or you may decide to use the Net price, which is the amount that excludes tax. This choice allows you to tailor your pricing approach based on your business needs and the expectations of your customers, providing a clear understanding of how taxes are applied to the pricing structure.
Taxes are automatically calculated based on the value in VAT/GST field.
Allow price modification on POS - This feature is designed to empower employees with the capability to modify the product price directly within the systems known as POSWeb or PGM while they are engaged in the sales process. By allowing this adjustment, employees can respond to various situations that may arise during a transaction, ensuring that pricing reflects any necessary changes in real-time. This functionality not only enhances the efficiency of the sales process but also contributes to a more flexible and responsive customer service experience.
VAT/GST - Please select the Tax component associated with the product.
Cost - You have the option to implement a fixed cost for the service that you are providing. This fixed cost will be uniformly applied across all clubs. . Furthermore, the cost prices associated with this service will be generated in the selected reports, allowing for clear visibility and tracking of expenses related to the service across the various clubs.
Availability
Clubs - Identifying the specific clubs where the product can be sold is an essential step in the marketing and distribution strategy. This process involves a thorough analysis of potential venues that align with the target market and the product's characteristics. By pinpointing the right clubs, businesses can maximize their outreach and ensure that the product reaches its intended audience effectively.
It is possible for an item to be used at a club which is not sold at, this all depends on the configuration.
Select all future clubs - When a new club is established within the section labeled PGM->Clubs->List of clubs, it will be automatically incorporated into the product availability. This means that as soon as the club is created and listed, it will be reflected in the available products, ensuring that all relevant offerings are updated in real-time. This automatic addition streamlines the process, allowing for efficient management of clubs and their associated products, thereby enhancing the overall user experience.
Applications - This product can only be purchased through POSWeb or PGM. Kindly leave these options unselected.

Everyone - This product is available for purchase by anyone, with no restrictions.
If member has a User Type of Lead, they will need to be converted to a Guest prior to purchasing product. -
Members with active contracts - Access is granted exclusively to members who possess an active contract, whether it is current, frozen, or set to commence in the future.

Specific payment plans - Access is limited to members who hold an active contract—whether current or frozen—or have a future contract set to begin under specific payment plans.

Settings & Limits
Store State - It is essential to keep this setting unchecked. Doing so will prevent the system from automatically adding a product for club members to use at a later time.
Product as Contract Starter Pack - This feature is currently not applicable for this type of product.
Set Product Expiration Date - This feature is not intended for use with this type of product.
Product can be purchased only one time - This process will verify whether the member has previously purchased this product. If there is evidence of a prior purchase, the system will prevent any further transactions for that item.

Barcodes - This feature is not intended for use with this type of product.
Accounting
Charge Code - This is for clients who are using the custom accounting module only. Add in a charge code against the product here.
