Introduction
Manual Contract transaction affects the club Member balance. It is useful if you want to correct their dues/balance, or to give a special, disposable discount.
Before you start

Make sure you should know which transaction exactly needs to be corrected and which correction date should be shown in the Member profile.
- To make a correction for a future transaction, remember to set future date as well. The future date determines when that correction will be added into the system (so on that day, balance refreshes based on the transaction).
Instruction
How to add Manual Contract transaction?
1. Go to the PGM -> Clients -> Clients -> Club members
2. Choose a Member from the list and open their Profile.
3. Go to the Transactions tab, and select Contract from the menu.
4. Click on the Add manual transaction button in the upper-right corner.
5. In the Operation type drop-down list, you can choose from these actions:
- Charge - generates a charge.
- Charge Cancellation - generates a charge on the canceled contract.
- Payment - settles a debt.
- Payment (Not Fiscal) - the transaction will not be shown in the fiscal reports. If you want a manual transaction to affect incomes and debits – select Show on fiscal report.
Perfect Gym gives you a choice: to show a manual transaction on fiscal reports (with information about payment method, in which club and on which POS station), or the PGM system can exclude that transaction.
- Payment Refund - returns the already made transaction.
6. Select the Transaction type, i.e. Prorata.
7. Enter the Gross Amount.
8. Add the Description. Make sure you enter the correction Description, so this can be referred to retrospectively if needed.
9. From the predefined list, select the Payment type.
10. Click on the Save button.
Hints
- While adding a manual correction, note that if a negative value is entered in ‘amount’, then the member’s debt will increase. Positive amounts are used to denote an actual payment taken from a member or a discount applied (e.g. gratis).
- All the changes in a customer balance are reflected in the Corrections report.
