In Perfect Gym, maintaining accurate member data is essential for effective communication and professional service. This article describes the process of identifying and correcting email addresses when a person who is not a club member receives automated notifications by mistake. This usually occurs due to a typo during the registration process, and resolving it ensures that club communications reach the intended recipients while respecting the privacy of others.
In this article, you will learn how to search for incorrect email addresses in the system and use reports to identify accounts when the email has already been changed.

Before you start
Ensure that you have access to the Notification Summary report. To verify this permission:
Go to PGM → Clubs → Employees → System Permissions.
In Permissions, make sure Notification Summary is checked under the Reports section.

If found: Contact the member or add a blocking note to correct the data.
If not found: Go to PGM / Reports / Notification Summary.
Generate the report for the date the last email was received.
Identify the member in Column L ("To") and update their profile.
Instruction
1. Search for the Email Address in the System
The first step is to check if the incorrect email address is currently active on any member account. Enter the email address directly into the search bar in the PGM or POS module.
If the address appears in search results: You have found the account. Contact the member to ask for the correct information. It is also recommended to add a blocking note or interaction to the profile, stating that the email address must be updated during their next visit.
2. Identifying the Account via Reports
If the member has already updated their email address to a new one, searching for the old (incorrect) address will not yield any results. In this case, follow these steps:
Gather Information: Ask the person receiving the unwanted emails for the exact date they received the last message.
Access the Report: Navigate to PGM → Reports → Notification Summary.
Generate Data: Run the report for the specific date provided.
Locate the Recipient: Look at Column L (“To”) to find the incorrect email address.
Identify the Member: The report will show which member account triggered that specific notification. Open that member's profile using the information found in the report.
3. Correcting the Data
Once the account is identified, update the email address to the correct one if known. If you do not have the correct address yet, contact the member or place a blocking interaction on their profile to ensure the staff catches the error the next time the member checks in.
