Introduction
This article will guide through the booking details screen of facility bookings, as well as the features of editing and cancelling a booking.
Before you start
You must have access to the facility booking module, please contract sales for more information.
Facility booking calendar
Go to PGM-> Classes-> Facility booking calendar to access all facility bookings.
Use the filters on the top right-hand corner of calendar to filter to the club, zone type and/or zones.
Click on the booking to display more information about that booking.
Booking details
After clicking on a booking, this will display the booking details screen.
The booking detail screen will display who has booked the facility.
The booking ID is a unique id relating to this booking, this is useful for any troubleshooting. If sending a case to PerfectGym support regarding a facility booking issue, please provide this booking ID.
This displays the start time and how long the booking is for.
This displays the set-up time of the booking required before the booking starts. This is set in the facility booking definition.
This is the booking rule used to book this booking.
This displays any comments created during the booking, or after. To edit the comment, add the details here and press Save details.
This displays the number of people attending the booking, to edit this details enter the new value here and press Save details.
Pressing ●●● will give you more options to modify the booking.
Edit booking
Press edit booking to change details about this booking such as start time and zone location.
To edit the booking, change the values of the start date, time or zone and press Save.
If the booking cannot be moved due to another booking, the following error message will be displayed.
Edit recurring bookings
If the booking is part of a recurring booking, you have the option to edit all recurring bookings. To do this press Edit all recurring bookings.
A new screen will appear with additional options of editing the booking.
This section looks at the range of the recurring facility booking you wish to edit and which club zones the recurring booking is set in.
Within Edit parameters this will give you the option to select the following edits:
- Day offset – This will move the booking to a new day, up to 6 days before or 6 days after the date of the booking.
If the booking is set to run on a Wednesday. If entering -2 will have the booking set to Monday, while entering 2 will have the bookings set to Friday. - New Start time – Set the booking to start at a new time.
- New club zone – change the club zone of the booking. The club zone must be using the same club zone type.
Use the following chart as a guide to help which day will be used.
Use the tick boxes next to the individual bookings to edit the recurring booking, press the tick box next to Bookings will tick all bookings shown here.
Press Next to continue.
If the booking is unavailable, the following error messages will be displayed. Else press Select all and press Submit to continue.
Cancel booking
Press cancel booking to cancel the individual booking.
In the reason of cancellation drop-down box, select the reason for cancellation or press Type other reason to create a custom reason for cancellation.
To create new cancel reasons, go to PGM->Classes->Facility booking cancel reasons.
Press Cancel booking to cancel the booking.
Refund rules are set in PGM->Classes->Facility Booking Definitions.
Refund all additional services - If your booking has product/services attached to it, this will delete the products that have not been used from the club members profile.
If a product has been used, this will not refund that product.
Refund all additional services will be in version R85.
Finish booking
Press Marked as finished will mark the facility booking as being attended.
Confirmation will be required.
The next time you open this booking, the following information will be displayed saying that the booking is finished. To correct this, you can press the X next to Booking Status Finished.
