Introduction
This article will guide you on how to batch edit facility bookings.
The editing of bookings will allow you to change dates, times and zones of a booking. Zone must be the same type of zone.
If you need to change the length or cost of booking, please cancel booking and re-create the booking.
Before you start
To access the facility booking calendar, please go to PGM->Clubs->System Permissions. Find the following permission:
- Facility booking
- Calendar
- View
- Can overbook
- Can force book
- Calendar
Instruction
To batch edit facility bookings, on the facility booking calendar, press the additional options icon then Batch booking edit.
This will display a new screen where you can enter parameters for which bookings to edit.
From / To - Search for bookings made within the date/time range.
Club zone - Select bookings made in the zones selected. Pressing X will clear all zone from view. Use the drop down to select new zones.
Choose a member- Search for bookings made by a single club member.
After selecting these values, Edit parameters will display all bookings within the parameters listed here.
Booking occurence - Filter to only bookings made on all days or selected days.
This feature will appear in R85
Day offset - This will move the booking to a new day, up to 6 days before or 6 days after the date of the booking. If the booking is set to run on a Wednesday. If entering -2 will have the booking set to Monday, while entering 2 will have the bookings set to Friday. If left blank this will not change the day of the bookings.
Use the following chart as a guide to help which day will be used.
New start time - Select the new start time for the selected bookings. If blank the start time will remain as is.
New club zone - Select the new zone, If blank the zone will not be edited.
Apply to all recurring bookings - If this booking is a recurring booking, ticking this box will also modify all future recurring of the bookings
List of bookings - This will display all of the bookings that falls within the parameters listed above.
Press the tick box icon next to each booking will select that booking to be edited. Selecting the tick box next to the header Bookings will select all bookings.
Press Next to edit the bookings.
This will start calculating the edits required, and check if any conflicts appear.
If a conflict appears, this will display what the conflict is.
Examples of conflicts may include:
- Bookings in the past.
- Zone unavailable as another booking is already booked.
- A zone parent, child or relation is booked.
If no conflicts, then you will be presented with what will be changing on screen. Select the tick box next to the booking will confirm the edit, press select all will tick all bookings to be edited.
Depending on how many edits there are, this may take time to process. If you close the screen now, the edits will still happen in the background.
