Introduction
The club member profile will give you all the details on a club member contract, products purchased, services used. The dashboard is an overview of the most common items.
Before you start
To access or restrict the use of the club member profile, this is set in PGM->Clubs->Employee Permissions.
All club member permissions are set under the header 'Users'.
Profile Dashboard
Clicking your mouse on the club member profile picture will display a larger photo.
If member does not have profile picture, this icon will not be clickable.
Client tags are displayed next to the club member name.
Additional information here will show the Customer number, Home Club, Contract Start date (if set in future), mobile phone number and email address.
Using the Copy Button next to User Number, email address and mobile phone number will copy to your clipboard (similar to pressing CTRL+C) to paste somewhere else later.
Send Email/SMS
You can send an Email/SMS directly to the club member from the club member profile.
Select the Channel you wish to send the message.
- E-Mail is through the email channel; you can add in header and footer details to make this personalized.
- SMS is through mobile phone text messaging, please note this is an extra charge per SMS. If you exceed 154 characters the cost is charged at 154 characters sent.
To enable SMS service, contact Perfect Gym Support Team. Mind this may be an additional cost.
Template will only show when you are using Email channel, this will allow you to change the header and footers of the email.
Subject will be displayed on all Emails. Even though this is not used in SMS, it will give an idea in the Communication Tab what the message was about.
Content is the message you wish to send.
Select Send Message to send the message.
Profile Tabs
The profile tabs will provide quick links into other parts of the Member profile.
- Profile – Displays current information about the club member
- Contracts – Displays detailed information about the club members contracts and ability to add and edit them.
- Transactions – Displays all information about Contract Transactions, POS Transactions, Cashless transactions and Payment Gate orders. You can also apply credits to the contract transactions here.
- Data – Detailed information about the club member, as well as showing the changes log and payment sources.
- Activity – Displays visits to the facilities and bookings to Personal Training, Classes and Facility bookings.
- Communication – Displays all emails, SMS and notifications sent to the club member generated from Automation center and Marketing newsletter.
Health Checks
This displays an overview of the club members profile status.
Star Rating
The more stars, the more frequent they are
- 4 stars rating - 4 visits (or new member, or main contract which is 0.00) in last 4 weeks.
- 3 stars rating - 3 visits in the last 4 weeks.
- 2 stars rating - 2 visits in the last 4 weeks.
- 1 stars rating - 1 or less visits in the last 4 weeks.
If the club member has a contract with a 0.00 membership fee as its price, this will automatically set the star rating to 4 starts.
The number of visits within the 4 week period can be adjusted by contacting Support.
Contract status
This will show you the current status of the contract. Green icon means that the club member has an active contract and there is no debt.
Clicking on this icon will give you an overview of the contract.
Other examples of these status’s include:
| Overdue payments on club member’s contract. | |
| Member currently frozen. The date displayed here is the first day back at the facilities. | |
| Member has an expired contract, this will display when it expired, and a short cut button to Add new contract. | |
| Member contract transactions are currently in progress through the E-Payment system (Credit Card, Direct Debit or Payment Gate). This status limits the ability to edit the contract. | |
| Member is a guest, with a short cut button to Add new contract. |
Point of Sale status
This will display the status of all point of sale transactions, and will display any debt in Cashless Debit.
Listed below are the common examples of the point of sale statuses.
| Club member has made a POS transaction in the past, which is settled. However, no transactions within the last 30 days. | |
| As above, however will display the last transaction made within 30 days. | |
| Club Member has not purchased anything. | |
| Member POS Transactions are currently in progress through the E-Payment system (Credit Card, Direct Debit or Payment Gate). | |
| Club member has debt from Cashless debit, selecting Details will take you to the POS Transaction screen. |
Payment Timeline
This will show you an overview of when the payments are going to be made based on the Commitment Period of the contract. If the commitment period has passed, the contract will only generate one-month worth of transactions in advanced.
Clicking on a payment date will expand showing you more details on what the amount includes.
If the club member is a primary payer, this will also display the child transactions.
Member Contracts
This area will show you an overview of all of the contracts the member is connected to.
Using the left and right arrows will display other contracts the club member is connected to.
This will also display contracts the club member is paying for using the family links.
Quick Tabs – Bookings
This tab will display in order the next bookings the club member has. Selecting Add Booking will take you to PGM->Classes->Timetable.
Pressing the Orange 3 dots will allow you to block a member from booking for a set period of time.
Enter in a date, press Block creating new bookings.
Note: Any existing bookings will remain, this prevents booking of new classes.
To remove a block, press the 3 orange dots and press Block creating new bookings for this client.
Press Unlock creating new bookings.
Quick Tabs – Products
This tab will display what active user products the club member has, with how many remaining and when this expires. User products are products such as visit passes and group fitness passes.
Quick Tabs – Events
This tab will display all upcoming events which were made in CRM. You can also add new events from this tab.
CRM is an additionally paid module, please contact sales for more information.
Selecting Show more will display previous events.
Quick Tabs – Tasks
This tab will display all upcoming Tasks which were made in CRM. You can also add new tasks from this tab.

Quick Tabs – Opportunities
This tab will display all upcoming Opportunities which were made in CRM. You can also add new opportunities from this tab. If you do not have CRM2, this feature will not be available.

Recent Activities
Recent activities will display all additions to the club member profile, this includes entry and exit to the club, booking attending and cancelling classes as well as Purchases and contract payments.
Club visit chart will give you a graph on when they have visited club.
Levels and Skills
This will display information of levels and skills the club member has achieved in the course module.
Press More will take you to Activity->Levels and Skills.
Linked Club Employees
This will display consultants who are linked to the club member, set in Contracts.
Linked Club Members
This will display any links to the club member by family connections, this will also display how they are connected (Parent, Spouse, Child).
Members Documents
This will display a link to all saved documents on the club member.
Club Member Notes
This will display all the active notes against this club member.
Notes will display the note content, which employee made the note, and the date of when it was created.
To create a new note, select the + icon next to Notes
Enter in the note you want to attached to the member profile and press save, you may wish to use the icons to block and/or pin the message to the top.

| Archive note – This will archive the note (not delete the note). |
