Introduction
The Trainer portal will allow the instructor to view their upcoming lessons, see who is attending, mark presence and assign new skills and levels.
Before you start
You must have access to the course module and trainer portal, please contact sales for more information.
Instruction
To access the Trainer portal, go to PGM->Classes->Trainer Portal.
Trainer Portal will resize based on the device used.
Trainer portal view
Club Selection - For clubs with multiple locations.
Club Zone Type – Select which club zone type should be viewed on screen. This will show only classes in that club zone type.
Date - Select the date to view in the trainer portal. Today’s date is shown as default.
Trainer – Select the classes the trainer will be in. The default view is the employee currently logged in.
Student Search – Find a student to see which class they are in. First Name, Last name, User Number, Email Address, Phone Number can be used to search. Note: This is to be used in conjunction with the date filter.
Show only upcoming – View only upcoming classes. If turned off this will show all classes on the date selected. The default is to only show upcoming classes.
Show only assessment - View only classes with scheduled assessments.
Time/Date of the class, with class duration.
Classes which are cancelled or deleted will never show on the Trainer portal.
Name of the class.
Members currently enrolled in a class, and how many vacancies are remaining in the group.
The number of currently scheduled assessments.
Location of the Class.
Who is the instructor for the class.
Details – More information about who is attending the class.
Individual class details
Note: On mobile phones, only attendance can be recorded. Skills cannot be modified.
Name of the class.
Instructor Name.
How many students are enrolled in the class and how many vacancies in the group.
Arrows will move the skill set to the left/right.
Level -This will group all of the students together with the current level.
If students have different levels, this will split them up into their own groups with different skills.
Student Details – Display First/Last Name, User Number, and Age.
First Time – If a student is attending their first class (specific to the activity category), this will display the words 'First time' alerting the instructor about it.
This feature is available from the R.93 system version onwards
Medical Condition – If a student has a medical condition against their profile, this will display an icon alerting the instructor about it.
Note: This requires additional setup, please follow the guides located here on how to set up custom attributes for medical conditions.
Options – This will display additional options for a club member.
See profile in PGM – Opens a new tab in the browser to display the member profile.
Add Note – Add a note to the student profile.
This button will only be visible to employees with System administration - Notes - Add permission
This will be viewable to anyone viewing the club member profile in PGM and POSWeb only.
- Block Access – If selected, this will block access to facilities.
- Pin to top – This will move the message to the top of the list, and mark it important.
- Content – Enter what the note is about.
- Add Note – Save button to add a note to the club member profile.
Medical Conditions – This will open a pop up box displaying what medical conditions are saved against the member profile.
Presence – This will mark the student present in the class. This may be automatically marked based on Access Control.
Skills (Individual) – This will mark the student's individual skill progression. If all skills are at the top level, this will automatically move the student to the next level.
Ticking the box next to the member's name will modify all selected members at the same time for skill and level progression.
Ticking the tick box next to the Level will modify all members in that level.
Level Change – This will change the level for selected members, regardless of what skills they have achieved.
Starting with the R.93 system version, the system will automatically mark all lower-level skills as completed when selecting a new higher level. All skills from both the lower and new levels will be marked as completed, eliminating the need to select each skill individually.
Skill progression change – This will change the skill level for all selected members to the new level
Pressing Apply Changes will save all changes made.

Hints
If you go into a class and no student appears in the class.
Please check the following settings of your group.
In PGM->Classes->Activity categories - Is there a member level assigned to the category? Activity member levels is required for the trainer portal to function properly.
Please also check if the same set up is done in PGM->Classes->Groups as this needs to match the activity categories.
'No level' cannot be used with the trainer portal.
Also check PGM->Classes->Class types to see if the class type used within the group also matches.
