Introduction
This is a guide on how to set up freezes for the course module.
Before you start
This freeze type is designed for the course module only. This guide will only mention the settings which can work with courses.
Instruction
To access freeze types, go to PGM -> Sale -> Memberships -> Freeze Types.
To add a new freeze, press Add freeze type on the top right hand corner of the screen, otherwise find the freeze type you wish to edit and press the pencil button to the left of the freeze type.
This will open up the Add freeze type window. Listed below is a guide on the settings required for courses.
Name - Name of the freeze, this appears in the client portal.
Active - Toggle this on if the freeze is to be active. If toggled off, the freeze cannot be used.
Always available may also affect the availability of freeze. See below for more information.
Fees
Fee Mode - Setting up costs of the freeze.
- Prepaid product - Not used within the course module.
- Fee from payment plan - Not recommended to use if the scope of the freeze (pictured below) is different to the payment interval in the payment plan.
- Fixed fee - This provides a fixed fee based on the scope.
- Percentage of interval fee - Cannot be used with the course module.
- Free of charge - Providing the freeze at no cost to the club member
Admin Fee - Apply a one-off fee to the freeze.
Free of charge and Admin Fee cannot be combined. Select one of the other Fee Mode options listed above for the Admin Fee to work, even if it's set at $0.00.
Limits
Scope - This is the interval used to determine how the freeze will work.
- Day - Freeze can start and end on any date and can be for any number of days.
- Week - Freeze can only be in weekly intervals. No partial weeks allowed.
- Month - Freeze can only be for the whole month. No partial months allowed.
Minimal length (day(s)) / Maximum length (day(s)) - Using scope, this will count the minimum and maximum length of the freeze for that freeze alone.
Usage limit per calendar year - How many times in a calendar year the freeze type can be used.
If a club member went on freeze 01/04/2021->01/05/2021 and 30/06/2021->07/07/2021. This will count as 2 usage limits.
Usage limit in last 12 months - How many times in the last 12 months up to today's date the freeze type can be used.
If a club member went on freeze 01/04/2021->01/05/2021 and 30/06/2021->07/07/2021. This will count as 2 usage limits.
Usage limit per contract - How many times within their contract that the club member can go on freeze.
If a club member went on freeze 01/04/2021->01/05/2021 and 30/06/2021->07/07/2021. This will count as 2 usage limits.
First freeze application / Latest freeze application - Not used within the course module.
Availability
Payment Plans - Select which payment plans can use this freeze type.
Clubs - Select which clubs can use this freeze type. Ticking All current and future clubs will grant all clubs to use it.
Always available - Toggling this on will allow this freeze type to be used at any time.
Toggling it off and selecting a from and until date allows you to control when people can apply for the freezes.
Visibility
Only for chosen roles - Tick this checkbox if you want to grant access to the Freeze type visibility to a specific role, i.e. Club Manager. In this case, roles other than this specific one will not be able to see this Freeze type configuration option.
Only for chosen sources - Select the modules where the Freeze type should be available to be used. If unticked this will have the freeze type shown on all sites, to control this select from one or more of the following below.
- Web - PerfectGym - PGM.
- Client Portal 2 - External client portal.
- Reception Tablet - Internal client portal.
- Kiosk - Kiosk mode of client portal.
- POSWeb - Point of sale.
- API - external API calls.
Combined freeze types - When using multiple Freeze types on one Contract, you can choose which Freeze types can be used together as different Freezes. Select the Freeze types you want to allow together from the predefined multi-select list.
Settings
None of these can be used within courses.
