Introduction
This article will show how a contact person at the club contractor's side can use the B2B Portal for. The contractor (also known as the club's corporate client) is a company that comes to the club and wants to give its employees the opportunity to use the offer of the club. If you are an employee of the club who is looking for information on how to create or update the contractor's data, read this article.
When signing a contract with the club, the contractor appoints a contact person responsible for managing the B2B Portal. This person will have an account created on the B2B Portal. Then, her or she can add new club members, manage their contracts according to their current needs and generate reports to help monitor their activity.

Instruction
How to log into B2B Portal for the first time?
After having signed the contract with the club and filling in the Business Client data, the contact person receives the following information by mail:
1. Password set-up link
- To set a new password, click on the Change password icon. After entering the new password, you have to repeat it.
Remember that the link will stay active for 72 hours only!
2. Login link
- Enter the login, which was created and assigned to the contractor while adding it in the Perfect Gym system. Enter the created password and click the Login icon.
- There is the Reset password option that will allow you to reset your password in case it has been forgotten. Remember that the reset link will stay active for 6 hours only!
In case of any issues with logging in, please contact your club in order to verify validity of data.
How to add a new member?
1. Go to the B2B Portal main page and click on the Add Club Member icon.
2. Enter the data: First and last name of the user.
3. Choose: Citizen or Foreigner.
- In case of Citizens, complete the Personal ID number.
- If the person you are adding is a foreigner, but has previously been registered in the PGM system as a club member, enter his/her member number from the PGM system. If it is the first time you register a person, just enter the date of birth.
4. Click Next.
How to create a corporate contract?
Club members in the B2B Portal can also become individuals who have already signed an individual contract in one of the clubs. If they declare their willingness to sign a corporate contract, then their individual contract will be automatically transformed into a corporate contract. Such transfer is possible on any day of the contract period. However, it may be important for the future club members to pay attention to the period of notice of termination of the individual contract, and the related possibility to charge them with penalties for early termination of the individual contract.
If a member is in debt on an individual contract, he/she must report to his/her club in order to settle the arrears. When the contact person authorized to add new club members in B2B Portal tries to add an indebted club member, a message about the existing debt will appear and it will not be possible to add such a club member.
1. Select one of the options from the list: Employee or Accompanying Person.
An Employee is every person directly related to a contractor (e.g. by employment contract), whose contractor offers the possibility to use the club's offer. Employees may also indicate Accompanying Persons, not directly connected with the contractor, but thanks to the relationship with Employees, who have the possibility to use the offer of the club.
- If the added member is an accompanying person, he/she should be associated with a person with the status of an employee by selecting the name of the given employee from the list.
- The system will indicate the closest possible start date of the contract. There is also a possibility to indicate a different contract start date.
2. Click Next.
3. The date of birth will be completed automatically after having entered Personal ID number.
4. Click Finish.
How to freeze and unfreeze contracts?
As long as the payment plan allows, the contract of a given club member can be frozen if necessary, which means that it can be suspended for a certain period of time. Suspension of a member's contract with the status of an employee does not mean that the participation of an accompanying person has to be suspended. A member's contract will be suspended automatically after the deadline indicated by the contact person managing the B2B Portal.
- By clicking Freeze at the selected club member, you have the possibility to indicate:
- the start date of the freezing by indicating the appropriate date in the calendar,
- duration of the freeze, which you can set for a month, two months, or until further notice.
- By clicking Create a freeze, the order will be accepted and the pass will be suspended.
- Added freezes with an end date in the future can be canceled by clicking on the main page in the Unfreeze icon, next to the selected club member.
How to end a contract?
The membership of the club member must be ended by the end of the current billing period in order not to include in the invoice the fee for the contract you plan to terminate. If an employee resigns, the accompanying person assigned to him/her is also obliged to resign.
- To end a contract, click Finish by a member's name and confirm by clicking Yes. After that, the contract end date will appear.
- To cancel the end of a member's contract, select the Cancel Registration icon next to the selected member, and then confirm the cancellation by clicking Yes.
Search bar
You can search members by using the search bar on the top of main page. You can search by:
- First and last name,
- Club member's number,
- Club member's status,
- History of club member's statuses.
Reports
1. B2B Portal allows to generate a report with the data of all club members reported by a given contractor under the contract with the club.
- The report is generated on the main page by clicking on the Generate icon, and then indicating the date range. The report will be generated in xls format. The report shows the following data:
- Company name
- Company number
- First and Last name of member
- Contract type
- Contract status
- Date of member registration
- Type of change
- Employee last name if this user is friend of existing employee.
2. B2B Portal also allows you to generate history and a report with the data of an individual club member.
- On the main page, next to the selected club member, click on the symbol of three dots at the end of the line indicating this particular club member.
- If you want to see a member's history, click on History. Then, you will see:
- name and surname of the club member,
- number of the club member,
- type of membership,
- history of club member contract statuses.
- If you want to generate a report with an individual member data, click on the Generate report icon. The report with individual member data is generated in a similar way as the contractor's collective report, but it contains data about that particular person.
