Introduction
This article will help you reorganize the club's capacity, i.e. when you want to:
- set up a limit of Members entering the Club at a given time;
- have your Club Members pre-book their visits to the Club.
You will learn how to adjust the key PGM and Access Control functions so that you could always be sure of the exact number of people checking-in the Club, their entrance/exit time, and space which is free or booked.
You can manage visits to the Club according to these three scenarios:
- Manual check-in and manual check-out --> by POSweb
- Access Control check-in and manual check-out --> by Access Control devices and POSweb
- Access Control check-in and Access Control check-out --> by Access Control devices

How to set up a limit of members entering the club?
It's quick and easy. First, go to the PGM -> Clubs -> Zones. Select the "Club" tab in the upper right corner and edit the parent Zone in the club. The Zone has to have a "Club" Zone type. If all of this is met, then you can edit the limit of members in the club, like on the screen below:
Setting the limit in PGM will automatically cause adding the same limit in POSweb and in the Access Control system (gates/turnstile) if the club has it.
It is very important to mark the information that a member has left the club and checked-out!
There are three ways to do it:
- If you use manual check-in, then the reception has to manually click the "Exit" button in POSweb when the member leaves the club (the button is visible on the right panel, next to the list of members in the club).
- If you use Access Control (gates/turnstile), then there should be an exit reader used.
- There is an additional option in PGM, if you don’t have the exit reader or don't want to check-out members all the time. In such a case, the system can automatically mark members as checked-out, i.e. one hour after their entrance to the club. This has to be configured by our Support team.
How to include Club Employees within the limit?
By default, PGM will count only the Club Members. However, there is a possibility to include your employees within the limit, together with Club Members.
If you want to use it, go to the PGM -> Settings -> System settings
Go to Access Control -> Visits -> Number of members in club.
Set the limit number and save it.
How to use the booking mechanism to pre-book a Member's visit to the Club for the exact date and time?
This can be achieved by using the PGM regular Class booking mechanism. Go to the PGM -> Classes -> Time table.
Before you start, check step-by-step manual how to manage class time table.
- If you use POSweb for manual check-in and check-out, then the reception has to verify whether a member has a booking made and allow him/her to enter the club.
- If you use Access Control devices, please contact our Support Team to help you configure the Access Control Workflow.
Important: if you use the Access Control devices, you should configure “Classes” in the same Zone, where your Access Control readers are located in.
